Our team members all share the common purpose of supporting veterans and their family members.About the roleThe role of an Allied Health Receptionist is to ensure that all clients and visitors experience a positive professional impression when accessing a Veteran and Family Wellbeing Centre (VFWC).
As the first point of contact for most visits, it is imperative that the receptionist sets a tone for all key stakeholders that aligns to the overall Purpose and Vision of Mates4Mates.More specifically, the role's purpose is to: Act as the first point of contact for information and enquiries on all organisation that operate within the VFWC and referring clients to the appropriate person for further information.Provide high-quality client centred care through respectful and professional running of the front office and reception.Ensure all information is recorded and conveyed to the appropriate staff member in a timely, efficient and confidential manner.Undertake general administrative duties including scanning documents, mail management, answering the telephone, greeting clients and maintaining a clean and tidy reception area.Maintain confidentiality and privacy of clients and their records at all times in accordance with privacy legislation and policies/procedures.Support all cultural change initiatives through word and action.Manage appointment calendars, billing and administration of client files for up to 11 Full Time Equivalent (FTE) Allied Health Providers.This is a permanent, full-time opportunity based in our Veteran and Family Wellbeing Centre in Aitkenvale, Townsville.
It will be based in office, 5 days per week, with core hours being 8.30 - 4.30pm.Essential for successThis successful candidate for this role will have 2 years' experience in an Allied Health or Medical Receptionist role with the following skills:A Certificate III in Health Administration or a similar qualificationSound understanding of allied health services and billing through Medicare and DVA.Friendly and caring, with an understanding of confidentiality and working in a mental health and allied health settingAbility to maintain a calm and professional demeanour when liaising with clients who may be experiencing crisis or are vulnerable, including maintaining appropriate boundaries.High levels of self-awareness, ability to adjust your communication style to suit your audience and client centred approach to your work.Ability to use initiative and to be proactive with tasks as well as taking ownership of deliverables.Intermediate computer skills, including proficiency with the Microsoft Office Suite and practice management systems such as MMex or Best PracticeFlexibility in approach to work when unplanned demands conflict with meeting deadlines.Excellent oral and written communication skillsAbility to maintain a valid working with children cardAdvantageousRelevant history of training and/or service in the ADF or a close connection; or demonstrated experience working with current or ex-service personnel in a similar role which has created a strong understanding of the issues facing veterans and their familiesWhat we offerA supportive and passionate culture with regular temperature checks across the organisationCompetitive remuneration package and access to salary packagingSupportive management and teamLeave entitlements including additional paid parental leave and gifted leave at the end of each year so you can enjoy the holiday seasonParticipation in our Staff Wellbeing Program (i.e., virtual meditation and mindfulness sessions, building resilience workshops, and more)A suite of Workplace Health & Safety training workshops for all staffAccess to Employee Assistance Program (EAP)Professional development opportunitiesAccess to a 'Benefits Hub' which includes health and wellbeing benefits and discounts, financial advice, recipes, and moreOpportunity to provide regular feedback through OfficeVibe platformThis is an exceptional opportunity to make a difference in the veteran community.
