Job Details: Job Summary This role is responsible for supporting the Field Services department and Field Services leadership team through completing all Field Services administrative tasks.
This position typically works under general supervision and direction.
Essential Job Duties and Responsibilities Prepare, distribute and manage changes to Field Services rosters Coordinate and attend regular meetings for the field operations team Administration of the delivery of material and equipment to site Attend regular stakeholder meetings, prepare agendas, record and distribute minutes Maintain registers for mobile phones, vehicle servicing and assets provided to technicians Review Service-Now data and identify potential cost recovery for vandalism equipment Schedule Preventative Maintenance for the field services team ensuring we meet our contractual obligations Liaise with both Service Desk and Dispatch teams when required Co-ordinate vehicle stocktaking audits Communicate and disseminate technical information changes, WHSE issues and other information relating to changes that impact on Field Services Manage incident/hazard/accident reporting between all stakeholder representatives ensuring escalations where necessary Assist management with annual SLA & KPI performance reporting General Duties and Responsibilities Comply with Cubic's Quality Management System Comply with Cubic Occupational Health, Safety and Environment policies and procedures Comply with security in accordance with established policies and procedures of the organisations Comply with Cubic Human Resources Procedures Other duties as requested Minimum Job Requirements: Qualifications Desirable: Certificate IV in Business Administration Knowledge and understanding of the purchasing Skills/Experience/Knowledge Essential: 2 years experience in an administration based role.
Experience in managing staff rosters including sick leave & annual leave planning Sound coordination and administration skills High level computer skills (Microsoft suite of packages) including Excel Ability to negotiate and communicate with vendors, evaluate quotations against specifications Strong written and verbal communications skills Excellent communication and stakeholder management skills Personal Qualities The position holder will need to liaise effectively with managers and staff at all levels and build good working relationships Ability to work unsupervised Pro-active and ability to use initiative Ability to meet deadlines Self-motivated Attention to detail High Integrity Condition of Employment: Successful outcome of a National Police Check Worker Type: Employee
