The Role Integrity Medico Legal requires two part-time Administrative assistants to join our team ( 1 x 32 hours per week and 1 x 24 hours per week).
We seek a detail-oriented, proactive Administrative Team Member to join our medico-legal practice. This role is essential for ensuring the smooth operation of our front-of-house services and assisting our medical experts with preparations for medico-legal examinations. As the first point of contact for clients and patients, you will handle reception duties, organise and manage sensitive legal documentation, and coordinate with our medical professionals to ensure they have the necessary resources for each examination. This position requires a high level of organisation, professionalism, and the ability to thrive in a fast-paced environment.
Your Responsibilities Reception and Client InteractionGreet and assist clients, patients, and visitors with a welcoming and professional demeanour.Manage phone calls, emails, and inquiries, directing them to the appropriate personnel.Schedule appointments and coordinate with clients to confirm availability and necessary documentation.Any other additional duties as required.Document ManagementOrganise, maintain, and update legal documentation, ensuring secure handling and confidentiality.Prepare documents for medico-legal examinations, including compiling case files, reports, and relevant patient information.Coordinate document flow between medical professionals, clients, and external agencies as required.Scanning and e-filing within our cloud-based information systemExam PreparationWork closely with doctors to prepare for medico-legal examinations, ensuring all necessary documents and materials are on hand.Communicate with patients and clients to confirm appointments and necessary details before exams.Assist with any last-minute requests or changes, handling all logistics precisely and efficiently.Key Business Initiatives Work closely with other departments to support the delivery of key business initiatives, which could include, but are not limited to:Delivery of promotional materialsScheduling, logistics and onsite management for eventsDigital campaign and social media supportWhat we are looking for Experience: Prior experience in administrative roles, especially in legal, medical, or customer-facing environments.Communication Skills: Exceptional verbal and written communication abilities; comfortable engaging with people at all levels.Technical Skills: A high degree of computer literacy is essential. Our internal operations management system has been custom-built; we will provide in-depth training.
