Administrative Assistant (Brisbane Based)

KJR is seeking an outstanding Administrative Assistant for a 6-month period. The successful candidate must be willing to split their time between our Brisbane and Gold Coast offices.
The successful candidate will handle pressure gracefully, thrive in a team environment, be action-oriented, and excel at problem-solving. They will respond swiftly and appropriately to urgent situations and take decisive action in ambiguous circumstances when necessary. This role demands high judgment, exceptional organisational and prioritisation skills, and the ability to build effective, trust-based relationships throughout the KJR organisation and with its partners.
Your role, reporting to the Founder, will be to:Manage the Founder's calendar, scheduling and prioritising appointmentsAct as a liaison between the Founder and stakeholders, communicating messages and requestsOrganise meetings, take minutes, and follow up on action itemsHandle confidential information with discretionYour role, reporting to CFO, will be to:Make travel arrangements for all staffProvide office access cards to visitors or new staff for Brisbane and Gold Coast officePerform general office duties including ordering supplies, maintaining equipment, and ensuring both offices are always presentableMonitoring timesheets and General Managers' forecasts under the supervision of the CFOAssist in coordinating events within the Queensland team: supporting Graham Cummins, General Manager of Queensland, with various internal group activities such as Throwback Thursday lunches and spontaneous Brisbane office drop-in days (excluding national events like International Women's Day, R U OK? Day, and the Christmas party)Foster a collaborative work environment and build strong relationships with all KJR staffAssist the Talent & Culture Team with any ad hoc tasks when requiredMaintain company documentation and templates where requiredQualifications & Requirements:Prior experience in office administration or similar roles is preferredExcellent organisational and time management skills to effectively prioritise tasks, manage multiple calendars and meet deadlinesStrong verbal and written communication skills to effectively interact with individuals at all levels, both internally and externallyHave a good understanding of emotional intelligence and working in difficult situationsExceptional attention to detail and a great problem solverIT and computer savvyAdaptability skillsProject management skillsAble to work independently and within a team environmentUnderstanding and commitment to maintaining confidentialityMust be an Australian Citizen or Permanent Resident to applyIT skills requiredOffice 365 / OutlookMicrosoft TeamsSharePointSlackCanvaWho are we?Starting out of a garage on the Gold Coast, KJR brought innovation and change to the Tech industry since 1997.
