Administration Support Officer

Gryphon Psychology is currently recruiting for an exceptional, dynamic, and dedicated administration support person in our North Mackay office.
The role is full time hours, Monday to Friday.
You will work directly within a dynamic team of admin & clinical staff servicing Mackay, and you will also be working as part of a wider administrative team who are based in Brisbane, Newcastle, Rockhampton, and Moranbah.

Intermittent travel may be required (no more than quarterly) for induction, professional development, and team building purposes.

Duties: Answering and managing incoming calls Directing queries to the appropriate person/location including escalating any urgent requests Scheduling client appointment bookings Gathering and inputting the appropriate information required in the client booking system, ensuring accuracy at all times Setting up telephone/video counselling meeting invitations and ensuring clients are provided the appropriate information prior to appointments Managing email/web/app requests for service In collaboration with the wider admin team, manage clinician diaries across multiple locations and offices Provide customer service to clients accessing in-person support in the Mackay Office Provide administrative support to the clinical team Minimum Requirements: At least 2 years experience working as a receptionist/administrator (within a medical/allied health practice preferred) Exceptional communication skills with an ability to positively and empathetically interact with clients Computer literate with excellent data entry skills Experience working with Microsoft Office 365 and Zoom video platform A professional and mature attitude and ability to adhere to strict confidentiality and privacy requirements Exceptional organisational and work coordination skills Ability to work autonomously and as part of a team Highly motivated and flexible in their work attitude Along with a current resume, please provide a brief cover letter highlighting the reasons why you'd be a great fit for the Gryphon team.
