Office Management (Administration & Office Support)Supervise and/or assist with the day-to-day operations of the business.Maintain office supplies and equipment.Assist with the recruitment and orientation of staff.Provide administration support and meeting management to our various faculty, working groups.Assist with various compliance planning, reporting and audits pertaining to our Registered Training Organisation and ALS training.Maintain instructor and stakeholder databases.Responsible for management and operationalisation of Student Management system.Maintain course/workshop documentation and evaluations.Undertake quality improvement projects as required.Provide support for operational procedures.Maintain policies and business process documents.Other duties as required from time to time.Undertake the day-to-day financial record management of PARASOL using Xero accounting software. This includes account reconciliation, invoicing, accounts payable/receivable and credit control.Preparation of Business Activity Statements, Instalment Activity Statements and Payroll Tax reports.Monitor and follow up on outstanding accounts.Maintain customer database and management of new accounts.Assist in the preparation and processing of payroll.Supervise invoicing and equipment management.Relationship Management / Customer ServiceWork with the leadership team to manage and support corporate relationships and strategic partnerships.Manage and maintain our customer relationship database.Identify and establish new corporate relationships and strategic partnerships.Oversee the preparation and logistics of participant material.Create and manage courses and events within the learning management system.Collect and report participant and instructor feedback.Maintain course reports and records.Collate and submit course outcomes and participant information to various organisations.Assist with the management of compliance and regulatory requirements.Assist with financial and training management inquiries.Assist the operations and service teams in periods of high workload.Staff / ContractorsCoordinate staff allocations within organisational policy and governing organisation requirements.Undertake regular communication, support, and guidance with our staff/contractors.Manage staff travel where required in line with organisation policy.Ensure equipment availability and allocation.Maintain staff databases and records.Assist with the advertising, recruitment and induction of new team members.Work with the CEO in the allocation of workload to permanent educational and administrative team members.Venue ManagementIdentify suitable venues in line with the operational needs.Undertake operational budgeting.Book venues and/or services within organisation policy and budgets.MarketingAssist with the promotion of courses and events.Coordinate the monthly workforce newsletter.Assist with the development of marketing material and campaigns.Assist with identifying marketing needs.Skills, Knowledge, Abilities and Attitude RequiredProven track record in coordinating programs and systems.Demonstrated ability to build and maintain strong relationships with employees and stakeholders.Ability to self-manage tasks and problem solve with limited supervision.Experience using database systems, resource or financial and records management systems.Demonstrated team working ability and willingness to learn, develop and grow into the role.Qualification and Other RequirementsCertificate IV Business / Administration or equivalent.Xero Certification or knowledge of program.Experience in Administrative Roles for 2 or more years at mid to high level.Travel may be required from time to time to support the administration and logistics of our events. Out of normal business hours activity may occur from time to time.
