About the roleThis position works in collaboration with academic and professional colleagues to provide effective and efficient administrative support for the national School of Health Sciences.
This position will report to the Administration Coordinator, working under routine supervision.
Key ResponsibilitiesProvide effective and efficient administrative support within School;Work accurately with detailed information; including data entry, maintaining spreadsheets, managing correspondence, collating data for report and under direction prepare a range of written communication.Provide excellent customer service to students and University stakeholders, ensuring timely communication when responding to queries.Compile and assist with reports, typing of correspondences, submissions, statistical summaries and data sets, and other material as required;Support and maintenance of internal databases and registers and management of day-to-day requirements of the office;Assist the Administration Coordinator and Senior Administrative Officers within the national administration team of policies, procedures, guidelines and forms;Liaise with various leaders across the University departments to ensure collaboration;Coordinate meetings, prepare minutes and organise correspondence for meetings;Other duties as identified by the Administration Coordinator; andComply with policies and procedures in all aspects of their work and conduct.Qualifications, skills & experienceCompletion of a diploma level qualification, or an equivalent combination of relevant experience and/or education/training.Demonstrated administrative experience, preferably in tertiary or other education sectors.Demonstrated competency in various software packages including the Microsoft Office Suite (Word, Excel, Visio), Adobe, In-Design, and timetabling programs (Allocate, Sonya).Highly developed communication (oral and written) and interpersonal skills with the ability to liaise effectively with tact and discretion, with a wide range of people both internal and external to the University.Ability to exercise initiative and judgment as appropriate, and work in a flexible and dynamic environment with competing priorities to meet deadlines.Ability to collaborate across multifunctional teams, providing a high level and responsive service.Proven record of preparing high quality documentation with excellent accuracy and attention to detail.BenefitsFast paced environment with opportunity for professional growthGenerous training and development opportunitiesFriendly and collaborative working environmentHow to applyPlease apply online with a resume and cover letter outlining your suitability for the role.
