About the Opportunity We are offering an exciting opportunity for an Administration Officer to join and support our team at the North Sydney office. In this role, you will assist TBH's Eastern Region and Corporate Services with day-to-day administrative tasks, contributing to the smooth operation of business functions while supporting the broader administrative team. This position reports to our Eastern Region Office Manager.
As our Administration Officer you'll;
General office administration and coordination, including reception and Telephone including greeting clients and staff in a friendly and helpful manner. Providing administrative support, including scheduling of meetings and events, correspondence management, group inbox management and Admin Help Desk portal.Data entry, invoicing for projects, employee timesheets and other processes through the finance system (Microsoft AX)Assist in supplies and equipment purchasing and maintaining proper stock levelsCollating presentations, minute taking, and reporting as required.Assist in undertaking financial transaction including credit card reconciliation and including processing invoices or petty cash.Managing incoming and outgoing mail and packages including local, interstate, and international couriersAssist with travel, accommodation and transport for staff in accordance with company policy. Upkeep reception and shared office areas to a professional image standard.Assist with conducting onboarding, promotion and exiting staff processes in line with procedure.Support with Internal QA Auditing Update and maintain records and databases, complying with administrative systems and processes, to ensure that all information is accurate, stored correctly and accessible.Delivering multiple administrative support activities and services in line with TBH process, policies and required timeframes.Follow quality and OHSE procedures in accordance with the TBH Integrated Management System.Other tasks as directed by the Office Manager or delegate not inconsistent with the scope of the role. What you'll bring As our successful candidate you'll bring;
2+ years' experience in a similar administrative roleAbility to work effectively with minimal supervision and on multiple tasks.Demonstrated ability to take initiative to suggest new actions to help the team, or to improve some procedures and processes.Proficient time management, problem solving and organisational skills.Strong interpersonal skills, including excellent verbal and written communication and customer service.Intermediate skills in Microsoft Office (Word, Excel, PowerPoint, Outlook)Experience in conducting internal audits of quality systems (Desired)Demonstrated ability to work collaboratively as part of a multidisciplinary team.
