Your Opportunity As the Administration Officer, you will: Support the successful administration aspect of asset management related functions.Provide accurate and succinct information to a variety of external and internal customers, stakeholders and suppliers.This position reports to the Director, Asset Planning and Management. This is a Permanent, Full-Time opportunity. The position will be based primarily at Mount Gravatt Campus, however you may be required to perform work at other TAFE Queensland campuses.
Key Responsibilities Provide efficient, effective and confidential administrative support to contribute to the effective operations of the Asset Planning and Management Team.Assist and provide secretariat support and coordination to the Facilities and Asset Network and various working groups for internal and external stakeholders.Support the Facilities and Asset Network and multiple Project Advisory Groups, by undertaking reporting activities and providing secretariat duties, including meeting coordination, minute taking and following up on actions.Manage general office coordination duties including, but not limited to, incoming and outgoing mail, videoconference bookings, meeting room bookings, travel bookings and ordering of office stationery and general office supplies.Prepare high quality documentation using word processing, spreadsheet and other Microsoft Office skills and provide support to senior staff in the preparation of reports, documentation and key planning and reporting processes as required.Document management and workflow within an established records management system including scanning and finalising records in line with TAFE Queensland retention and disposal policy.Provide financial support including the processing of purchase requisitions/orders, goods receipting, invoice processing, corporate card reconciliation.Sort, distribute and track correspondence and provide a follow up service where necessary.Liaise with internal and external clients on behalf of TAFE Queensland and maintain effective communications with office personnel.Perform a variety of other administrative or support services as directed by Director, Asset Planning and Management.How you will be assessed The ideal applicant will be someone who has the following key capabilities:
