Since 2006, our directors have empowered tens of thousands of patients both locally and internationally to have healthy skin and achieve their skin goals. They have employed and trained more than 100 dermatologists, registrars, nurses and therapists across Australia, with a focus on exceptional patient care and delivery of results.

About You
You thrive working in specialist dermatologist practice, collaborating with dermatologists and working with a diverse team.
You are excited to facilitate an engaging work environment for the team, including developing and facilitating professional development plans, managing appointment books and publishing rosters.
You are motivated to arrange in-clinic training to ensure that the administrative team remains up to date with all aspects of their position, all conditions seen and modalities used in the clinic.
You're hungry and you know how to inspire and lead a team to produce a busy and thriving practice environment.
You're a seasoned manager with experience across both the people and process sides of administration.
You have a proven track record of leading teams, with the ability to rapidly develop, adapt and deploy strategies in response to changes in the clinic.
You love building teams and establishing development pathways for your team members. You also understand the importance of building structure and processes and making informed, data-driven decisions.
You enjoy meeting regularly with the administrative team to keep them engaged and achieving their best.
You have a collaborative spirit and the ability to thrive in a fast-paced, entrepreneurial environment, ready to roll up your sleeves and work with a varied range of stakeholders and teams.

Your Role & Responsibilities
We are seeking an enthusiastic, experienced and motivated administration manager to join our established practice and become an integral part of our team.
The administration manager will play an integral role in the development and health of the practice, leading and managing the daily operations for all administration aspects of the practice. Administration is the core of a successful practice and this role will be supporting the entire administrative team and function.
Reporting to the Managing Director, your responsibilities will include, however are not limited to:
Overall smooth running of the administration aspect of the practice
Assisting with the training of new and existing staff
Supervising and monitoring performance of all staff
Coordinating appointment books, in collaboration with the clinical and nurse manager
Working closely with specialists, clinical manager and nurse manager to ensure smooth appointment book management
Ordering, Stocktake & Stock Management for office supplies
Managing rosters, timesheet approval and leave management for administrative team
Providing a high level of assistance and communication to patients
Motivation and support of the administrative team
Develop and achieve goals to advance the clinic every month
Front desk duties such as welcoming patients, billing patients, administering UVB phototherapy
Goals you'll achieve in your first three months
Get to know your team. As we are a brand new centre, you will have the opportunity to develop a whole new administration team. Your first priority will be to get to know the team members, learn what drives and motivates each, and start to provide leadership to enhance their performance. You will be responsible for their training with the support of the managing director, so you'll have a wealth of knowledge to draw on in this regard.

Everything can always be improved, but as Picasso would say, you first need to learn the rules like a pro, so you can later break them like an artist. You will have direct access to our Founder and Managing Director, who lives and breathes this part of the business.
Take the business from opening to thriving, leading your team to be busy and fill practitioner lists quickly.
Lead by example. The best leaders aren't at the front desk all the time - but they prove to their teams that they can walk the talk. To really learn our patients, and the nuance of maintaining lifelong relationships with the practice, you'll be expected to interact with patients yourself and show your team that you know how it should be done.
Experience, Skills and Qualifications you'll need
Leadership experience, with proven success in guiding a team to achieving targets
Managing an end-to-end patient journey process and leading others to do this well
Running an administrative team that handles a high volume of enquiry and in-clinic activity
Leading a high-performance team with a focus on quality and repeat business
Working closely with other managers within the clinic to ensure alignment between departments and activities
Excellent interpersonal and communication skills
A strong commitment to patients and outcomes
Excellent organisational and time management skills, with the ability to prioritise tasks well
Previous experience within the medical or aesthetic industry
Experience in leading, motivating and guiding teams autonomously
