Job Advert Are you a PA, Secretary or Senior Administrator looking for your next career within the property world? We are looking for an experienced individual to provide secretarial/administrative support to our Residential Development & Property Management team based in Perth, Scotland.
What you'll be doing: Providing general administrative support, contributing to the smooth running of the teams.
Assisting in preparing and drafting correspondence, reports & schedules, minutes & agendas.
First point of contact for phone calls to the team, taking notes & messages when necessary.
PDF amalgamating/formatting, scanning, printing, photocopying and binding documents.
Organising post & couriers.
Audio/copy typing, minute/note taking at meetings, and printing/proofreading/binding of documents.
Ensuring the client contact database is maintained with an efficient filing system whilst creating new files, archiving files and retrieving archived files.
Arranging meetings both online and in person with internal and external personnel.
Setting up meeting rooms and providing refreshments.
Organising team and corporate social events and volunteer days.
Anti-money Laundering processing.
Finance administration for the team such as implementing updates to the work tracker, raising invoices, expenses, reports, timesheets and chasing where necessary as directed by Senior Team Members.
Arranging travel, accommodation, refreshments, parking etc.
Senior Team Member support such as diary management, email management.
Assisting clients and other parties with enquiries.
Carrying out any additional ad-hoc duties as may be reasonably requested from time to time.
About You: Previous experience in a secretarial/administrative position.
Strong typing skills and audio dictation.
Good communication skills (both verbal & written) and attention to detail with the ability to build productive relationships, both internally and externally.
Strong organisation skills with the ability to prioritise whilst managing conflicting demands.
Ability to work independently with confidence, as well as in a team environment.
Good IT Skills with knowledge of Word, Excel, Power Point, Outlook & Teams.
Previous experience within property is desirable, however not essential.
Experience of using Netsuite system or similar invoicing systems is desirable.
