What You Will Be Doing As Administration Assistant, you will be reporting to the Customer Support Specialist Supervisor and working in a small team. You'll be the face of North Lakes Specialist Centre & Medical Procedure Unit, greeting patients and handling a variety of customer support responsibilities, including:
Your key responsibilities will include: Greeting Patients: Welcome every patient, ensuring they feel acknowledged and cared for within 2-3 minutes of arrival. If busy, kindly direct them to take a seat and reassure them of prompt assistance. Managing Appointments: Schedule new and follow-up appointments with accuracy and efficiency, making sure all details are communicated clearly to the patient. Handling Payments for MPU Procedures: Process payments and address any patient questions professionally. Telephone Protocol: Answer calls with a professional demeanour, resolve queries promptly, and log missed calls to ensure timely follow-ups. General Administration: Keep reception and waiting areas clean and organized, manage daily emails and faxes, and maintain up-to-date knowledge of company policies and procedures. Order Management: Keep track of stationary and medical supplies, ordering as required. Compliance: Adhere to company policies, including confidentiality, health and safety standards, and professionalism. You're comfortable managing multiple tasks and know how to prioritize in a fast-paced setting. Experienced: Previous administration experience is desirable, with proficiency in Microsoft Office (Word, Excel, PowerPoint), Bluechip software, and systems such as Ultra / GGG.
