The RoleTo provide administration support to the Human Resources team and other departments as required.
Key Responsibilities Assist in generating monthly HR/Safety reporting;Validate and process credit card and invoice payments;Coordinate common law claim responses across all departments, including evidence gathering from OHS, ER, Payroll and HR;Assist with face to face training coordination (booking rooms, meals, travel, and participants list);Create presentations and undertake proof reading of HR policies, guidelines, and procedures (spelling, grammar, layout, upload to intranet);Administer Employee of Quarter/Branch of the Year awards;Assist with preparation of salary review and incentive letters;Review and coordinate The Voice (internal communication magazine) department articles administration as required;Assist with other tasks for Executive Assistant as required (support the Senior Executive team.
);Coordination of department travel;Assist with National travel bookings;Maintain requests for standing accommodation reservations.
Key Competencies, Skills and Qualifications Build and maintain effective collaborative relationships within the office, with the ability to influence your network to achieve outcome;Flexible approach in providing support to multiple stakeholders;Ability to think on your feet in a dynamic busy environment, but always maintaining integrity and confidentiality;Confident and adaptable to meet demands, with the ability to work under pressure;Strong communication skills both written and verbal, and the ability to liaise with leaders within our business as well as external customers;Strong organisation, time management and prioritisation skills;Capability to perform a varied range of tasks from invoicing and expense reconciliation, to event management, to numerical analysis and reporting;Demonstrated initiative and a proactive positive approach;High level of integrity and discretion in handling highly confidential and business sensitive information;Strong competency of software applications including MS Office;Experience in travel booking and event planning;Background in a large corporate environment/organisation.
