About the Role The Administration Assistant will support the operations of the Community Care Unit by ensuring smooth and efficient administrative processes in accordance with our organisation's policies and procedures.
A key part of this role involves managing roster enquiries for the site, rostering of staff and support of the rostering system.
You will act as the primary contact for rostering matters and communicating roster changes.
This role also involves handling reception duties and performing various clerical tasks to maintain high-quality service delivery.
Other Responsibilities include but are not limited to: People Accessing Our Services: Answer all incoming calls politely and professionally.
Respond to general inquiries with accurate information and direct callers to the appropriate staff member, taking messages when necessary.
Provide residents with accurate information and direct them to the appropriate staff members as needed.
Greet and assist all visitors courteously and professionally.
Coordinate and maintain the 'Sign in/Sign out' record of all staff and visitors.
Service Operations: Always keep the reception and office area neat and tidy.
Sign for and distribute courier packages and arrange for their collection and sending as needed.
Manage incoming and outgoing mail according to established procedures.
Perform general clerical duties, including word processing, photocopying, faxing, mailing, scheduling meetings, updating forms, and filing.
Prepare meeting agendas and minutes.
Assist with the preparation of staff rosters and support the rostering system.
Act as the primary contact for rostering matters and communicate roster changes promptly.
Ensure staff availability is regularly updated.
Undertake cash receipting and banking per established procedures.
Complete petty cash reconciliations according to established procedures.
Process maintenance requests and maintain records of all maintenance.
Maintain key registers and inventories.
Review and maintain adequate stationery supplies, ensuring cost-effective and appropriate purchases within budget.
Perform data entry as required.
Carry out other duties as required, requested, or directed within the person's capability and training.
This role is a full-time role working Monday to Friday 8.30am to 4.30pm based in Orelia.
About You To be considered for this role, you will possess; Skills and Experience: Experience working in a similar role is desirable Experience with HRIS systems or rostering functions is desirable Excellent organisational skills.
Initiative and independent judgment.
Strong communication and interpersonal skills.
Ability to communicate clearly and respectfully with consumers, families, colleagues, and external stakeholders.
Ability to provide services, information, or assistance courteously and promptly.
Proficient in MS Office and internet research.
Flexibility in a changing environment.
Ability to work independently and as part of a team.
Other: National Police Clearance.
Valid WA driver's license.
Valid First Aid Certificate.
Working with Children Check.
