Women's and Children's Health Network, 3D Health, Health Education Interface, North Adelaide Classification – ASO3 - $67,589 - $72,033Full time - Ongoing Permanent Position About the OpportunityWe currently have an exciting opportunity to join the 3D Health team as an Administration Assistant - HEI where you will be responsible for: Arrange meetings, appointments, and vehicle bookings, managing Outlook calendars.
Handle enquiries courteously, both in person and over the phone, redirecting as necessary.Process HEI referrals and maintain the associated database.
Maintain effective and confidential data filing and recording systems.Assist with HR-related data entry and verification in ProAct and databases.
Submit staff timesheets to Payroll punctually and follow up on discrepancies.Attend meetings and case conferences, recording and preparing minutes for distribution.
Accurately type minutes, correspondence, and reports as requested.Collect and maintain accurate data on Health Education Interface program activities, performing analysis and developing biannual reports.Support with EMR data entry.Report and follow up on fleet vehicle incidents and manage servicing and replacement.
Manage monthly fleet log sheets and track vehicle usage, reporting underutilisation.Participate in a positive team environment promoting learning, safety, and creativity.Establish, enhance, and maintain office systems and procedures.
About YouTo be successful in this role, you will have: Proven ability to analyse, evaluate, and apply information to support administrative operations and align with work unit directions.Providing high-level confidential secretarial and administrative support services.
Sound knowledge of office management and administrative procedures and systems.Demonstrated ability to organize meetings/projects, including venue selection, agenda preparation, and minute-taking with Knowledge of medical terminology.Competent in the use of computing software, particularly the Microsoft Office suite.Strong team player with proven skills to operate and contribute effectively as a member of a team.
Effective verbal and written communication skills.Demonstrated ability to draft both routine and complex correspondence.
