What you'll do: Comply with all role specific SHEQ obligations Oversee the management of fleet vehicles, scheduling regular servicing and repairs, handling insurance claims.
Provide support and assistance to the Workplace Manager & Sydney Team Leader colleagues and cover in their absence.
Provide support and assistance to all offices within the Workplace Manager's portfolio.
Support the Workplace team and step in when needed during absences.
Work with the Workplace team to maintain a tidy, safe and functional agile working environment.
Oversea the onboarding and offboarding process, including conducting weekly new starter inductions.
Provide support to the wider Workplace Team as and when required.
Liaise with contractors as required by the office Support the effective functioning of the Workplace team.
Lead regular team meetings to manage effective operational communications.
Coordinate both reactive and scheduled maintenance of all tenanted areas and equipment.
Conduct regular tenancy audits to ensure compliance with HSEQ obligations and policies.
Support the Workplace Manager with office relocations when required.
Ensure comprehensive client support in all FoH areas including catering, AV support, meeting room equipment and set up.
Management of all office security systems including electronic access systems and alarms where applicable.
Liaise with building management on all matters regarding after-hours access and issues.
Regular audits of tenancies to ensure safety of all company premises.
Ensure adequate Wardens and First Aiders are appointed and sufficiently trained.
Actively participle in and/or manage emergency evacuation exercises.
Management of visitor access including signing in/out, site safety inductions and issuing passes to visiting WSP staff where required.
Ensure Workplace team adhere to HSEQ requirements.
Procurement of all ergonomic equipment as directed by HSEQ team.
Management and maintenance of all company fire extinguishers and first aid kits and annual test and tag requirements.
Adopt a proactive approach to the duties and responsibilities of the position, to ensure performance outcomes and processes complement the WSP Guidelines Procurement of extraordinary stationery/equipment for teams and projects as required, ensuring correct cost allocation to jobs.
Management of all Workplace related suppliers including all paperwork to ensure compliance with company policies.
About You Must hold a valid Australian driver's license and be legally permitted to drive in Australia.
Strong people management skills Intermediate to advanced knowledge of MS Word, Excel, Outlook, and Project Experience working with a large organisation would be desirable, Professional presentation Strong communication and relationship-building skills, with an ability to negotiate through difficult situations A demonstrated commitment to providing quality service and work with attention to detail Strong organisational and time management skills with the ability to juggle multiple priorities A proactive and enthusiastic team player A self-starter who can work independently Adherence to the requirements of WSP systems as set out in the company policies, manuals, procedures and guidelines.
