About the role The Wellness Care Consultant plays a critical role in supporting the daily operations of the clinic and ensuring a welcoming, efficient, and positive experience for clients. This dual-role position combines administrative duties with fitness training responsibilities, utilizing your expertise and certifications (Cert III & IV in Fitness) to conduct wellness classes and workshops that support client health goals. The Wellness Care Consultant serves as the first point of contact for clients, completes and supports with scheduling, billing, and provides essential information about services, while also engaging clients in wellness activities and group fitness sessions.
Key Responsibilities Client Support and Administration (60-70%)Reception Duties: Welcome clients, answer phone calls, emails, and inquiries in a professional and friendly manner.Scheduling and Appointment Management: Schedule appointments and manage bookings for clients across multiple allied health services (e.g., psychology, physiotherapy, dietetics).Billing and Payments: Process payments, handle Medicare, Private Health, and NDIS claims, and manage related paperwork accurately.Client Records Management: Maintain accurate and up-to-date records for all clients in compliance with privacy and confidentiality standards.Support for Practitioners: Provide administrative support to allied health practitioners, ensuring they have all necessary resources and information for client sessions.Coordination with Referral Sources: Assist in managing referral pathways and coordinate communications with GPs, caseworkers, and other referral partners.Customer Service Excellence: Deliver outstanding customer service to enhance the client experience and ensure all interactions align with clinic values and standards.Wellness Classes and Fitness Support (30-40%)Conduct Group Classes and Workshops: Lead group fitness classes and wellness workshops for clients, focusing on general fitness, mobility, flexibility, and mental wellness as appropriate to the client demographic.Individualized Client Support: Work with clients to understand their fitness levels, limitations, and wellness goals, adapting exercises accordingly.Health Education: Educate clients on the benefits of physical activity, proper techniques, and safe exercise practices.Class Scheduling and Promotion: Coordinate and schedule wellness classes, liaising with other practitioners to integrate fitness classes into the clinic's overall wellness offerings. Promote our services to the community, ensuring you are getting our brand and services out to the business community and local community in our LGA.Client Progress Tracking: Monitor and document client progress as it pertains to fitness activities and classes, maintaining records as part of their overall wellness journey.Promote a Holistic Approach to Wellness: Collaborate with allied health professionals to encourage clients' holistic health, ensuring alignment between fitness activities and therapeutic goals.Qualifications and Requirements Education & Certifications: Additional certifications in wellness, group fitness, or personal training (desirable).Experience: Prior experience in a customer service or administrative role in a healthcare or wellness setting (preferred).Experience in conducting group fitness classes, personal training, or other fitness-related activities.Skills: Strong communication and interpersonal skills.Proficiency in using practice management software (e.g., PracSuite) and Microsoft Office.Ability to multitask, prioritise, and manage time effectively in a fast-paced environment.Commitment to customer service excellence and patient-centered care.Knowledge of Medicare, Private Health Insurance, and NDIS billing (preferred but not essential).Key Attributes Personable and Compassionate: Ability to create a welcoming, supportive atmosphere for clients.Proactive and Organised: Self-motivated and detail-oriented, with strong organizational skills to manage both administrative and fitness responsibilities.Team-Oriented: Collaborative approach with an interest in supporting the broader goals of the allied health team.Passionate about Health and Wellness: Commitment to promoting wellness and physical health through fitness and holistic care.Standard clinic hours, with some flexibility required for fitness class scheduling outside of standard hours.
