This is a diverse, hands-on role which requires professionalism, interpersonal skills, energy, and attention to detail. The position will be based in Moorebank site, Sydney.Key Responsibilities:Receiving visitors to the organization and directly them accordinglyManaging the office to ensure effective mail communications both internally and externally (as required) to maintain a professional imageSupervise the maintenance and alteration of office areas and equipmentWorking with building management/landlords for any repairs or issues, required inspections and/or regulatory testing requirements to ensure minimal interruption to operationsPerforming routine administration and clerical functions and assisting other functional areas with administration (as required)Assisting with project related administrationManaging the travel arrangements for management, including but not limited to flights, accommodation, and car hireEnsure the general tidiness of the office areas, including conference/meeting rooms, meal rooms, and change roomsManage the co-ordination of company events, and where applicable the catering requiredAccurate compilation of weekly Blue Collar Time sheetsAccurate generation and validation of weekly Customer Invoices for servicesAccurate review and approval of supplier invoices for paymentGeneration of Purchase orders in SAP and reconciliationOrdering employee uniforms, onboarding of new startersPerforming a full suite of office administrationPerform any other ad hoc duties as assigned by managementKey Requirements: Relevant tertiary qualifications (desirable, not essential)Relevant experience in administration/EA/Office Manager or similar (desirable, not essential); Experience in warehouse administration or purchasing administration would be an advantageHigh level of aptitude for clear and concise application of business systemsExcellent time management skillsReliable and a highly organized approach with the ability to juggle multiple tasksA proactive, collaborative mindset and demonstrated capacity to work independently and within a team environmentFamiliar in using MS Office Suite – MS Excel Data oriented and customer-oriented mindsetIntegrity – performs with honesty, transparency, and trustAlways present professionally, reflecting a positive attitude and approach to your workEnergetic, out-going, resulted oriented attributesPreferred candidates will be required to undertake reference checks as well as pre-employment screening, including a National Police Check.
