The position of Office Administrator plays a crucial role in supporting daily office operations by managing shipping documentation and processes, raising purchase orders (POs), and maintaining back order reports. This position ensures smooth workflow by coordinating with suppliers, internal stakeholders, and external partners, in order to meet the business needs efficiently. A high level of detail and proactivity is required to maintain accuracy, customer satisfaction, and operational efficiencies.
Key Responsibilities: Prepare and process shipping documentation (invoices, packing lists, etc.) Track shipments to ensure timely delivery and escalate issues that may arise Liaise with warehouse teams to manage timely receipting of inbound deliveries where required Raise and issue purchase orders to suppliers following an approval process Address invoice vs PO discrepancies as they occur Maintain an accurate record of POs, invoices, test certificates, bills of lading, and any other relevant information/documents pertaining to inbound deliveries Generate, maintain, and distribute back order reports to corresponding suppliers Monitor products on back order and follow up as to reasoning Provide regular reports to management on the status of supplier deliveries, via SIFOT Identify trends or issues in backorder patterns and recommend corrective actions Ensure records are accurately maintained and easily accessible Minimum Requirements: Proven experience in purchasing, logistics, and/or supply chain Familiarity with shipping processes and related documentation Knowledge of purchase order systems and supplier management Strong proficiency in Excel and exposure to ERP systems Excellent organizational and multitasking skills Strong attention to detail and problem-solving abilities Ability to communicate effectively with internal and external partners Proactive, out-of-the-box thinker Customer focused Company Culture: Professional but relaxed company culture Monthly team BBQ Employee Assistance Programme If the above sounds like you, please submit your details through the application form and we'll be in touch ASAP.
