Qualifications
Strong MS Office skills (MS Word, Excel & Powerpoint). Basic skill in Salesforce.com can be advantageous. Effective written and verbal communication skills with attention to details. Highly organised with excellent time management and prioritisation skills. High level of problem-solving ability. Flexible and adaptable, able to juggle conflicting demands whilst maintaining a balanced outlook. Strong customer and team focus. Ability to build strong relationships and gain respect and trust of customers, peers, and staff.
Responsibilities
Executive & Management Support:
Assist the VPs with expense claims, travel booking, and diary management as required. Support the Customer Care Director to ensure the monthly Out of hour (OOH) data is collated from the team and correctly presented for approval. Work with HR to support logistics, facilities, and catering for all engagement activities/events supporting the GPTW strategy & initiatives. Collaborate with the EA of the President APC to ensure the President's local Admin needs are met. Sales Admin Support:
Assist the Sales team in collating and formatting tender documents, proposals, and Sales presentations. Work with Sales on P2P processes when required. Manage the setup of new customers and modify existing customer accounts via Salesforce.com. Update leads in Salesforce.com and request the VP to allocate them to an AE. Follow up with the AE on the lead status. Work closely with the sales/lead generation team and marketing to optimize processes for generating leads and following up on execution from various activities. Office Admin Support:
Provide office admin support for Sydney & Melbourne offices, including ordering stationery and kitchen supplies, organizing mail/courier, and general upkeep of the office/staff kitchen areas. Administer mobile phone and office pass requests. Liaise with building management to resolve any facility issues and communicate changes/updates to employees as appropriate. Organize catering for training & meetings. Raise PRS (purchasing requisition) on time and inform the business area when the PRS is approved. Handle purchasing across HR, Marketing, and general business. Work with Corporate Traveller to book international travel as required in accordance with internal procedures. Greet all visitors in the Sydney office in a professional & welcoming manner. Support onboarding and setup of new joiners on facilities, Egencia, Kastle, etc., and conduct facilities tours. #J-18808-Ljbffr
