This position provides administrative support to our Perth based project teams. We seek a proactive, organised, and resourceful individual capable of delivering support, office coordination, and various project administrative tasks. The role demands continuous identification of process improvement opportunities in support and administrative functions, along with the implementation of solutions and best practices to boost productivity.
You will play a crucial role in our national administration team, supporting administrative and project tasks across the organisation. You will collaborate effectively and engage with various stakeholders, including employees at all levels, the administration team, customers, external providers, and agencies.
Key Responsibilities: Word processing tasks, including proofreading, editing, and formatting of a variety of documents from letters and proposals to large, complex, multi-volume reports in accordance with the Umwelt style guide and templates Delegating or being delegated tasks within the administration team and ensuring that they are completed in accordance with existing policies and procedures as well as the Quality Management System processes Liaise with employees, vendors, clients, and suppliers regarding all administration information Supporting employees by facilitating interdepartmental communications and interactions between internal and external parties Assisting with special projects, such as process improvements Provide assistance to staff, managers, and senior-level officers as needed Working in accordance with timelines and tasks supplied via the Administration Ticket Desk in Umwelt's SharePoint system Scheduling, attending and taking minutes in team meetings Expense and timesheet allocation Fleet car management Travel bookings and mobilisation assistance including induction requirements Providing general administrative support to the Perth based teams and to other teams/offices as directed by the National Administration Manager Undertake data entry, mail merge tasks and edit PowerPoint presentations About You: The successful applicant for this position will be a highly motivated and enthusiastic Senior Administrator experienced in the below areas:
Minimum 3+ years of experience in a similar role preferable within a professional services firm Strong attention to detail with excellent verbal and written communication Ability to work under pressure to strict deadlines, prioritising tasks and coordinating others to ensure deadlines are met High degree of professional integrity and takes pride in the quality of work with a strong ownership of responsibilities/accountabilities Be inquisitive to improve and seek opportunities to enhance presentation and quality of documents.
