The Opportunity We are seeking an experienced and motivated Event Planning Coordinator for the stunning Taronga Zoo precinct.
Reporting to the Director of Sales and Marketing – Taronga Zoo, you will be responsible for the coordination and planning process for small scale and internal client events within the multi-venue operation of Taronga Zoo as well as managing administration tasks and assisting the wider event team. The successful candidate will develop strong, reliable, and professional relationships with all clients, internal and external stakeholders and be a pivotal role in the ongoing success of the event department.
To ensure your success in this role, you will have: Minimum 2 years experience in a similar role. Attention to detail and ability to think and plan ahead. Proven success coordinating corporate and social events. Excellent client management and relationship development skills. An operational mindset for event planning, client and supplier management, bump in, event execution, bump out and post event administration. Experience in managing, organising and coordinating site visits. Outstanding time management and strong multi-tasking skills. Be able to form part of a team and communicate effectively. Love of events and hospitality! Key Responsibilities Ensure needs of the venue client and both internal and external stakeholders are achieved in a professional, courteous and efficient manner. Assist the wider event team with administration tasks such as development of event agreements, processing payments, updating event orders, creation of floor plans etc. Co-ordinate the management of events including timelines, event logistics, planning and instruction. Consistently meet customer satisfaction targets to generate repeat business, referral and positive word of mouth. Ensure that all appropriate event documentation is prepared including, event run sheets, any commentary and instructions. Ensure all financial management reporting is conducted as per company policy including prepayments, invoicing and client satisfaction evaluation. Coordinate and/or lead pre-events briefings with key internal stakeholders. Post event client follow up.
