Description Timetabling Officer (Student Administration)  Based on our Sydney Campus  Full-time, Continuing    •    Join a national university committed to excellence in education, scholarship and research •    Be part of a welcoming community of professionals, academics and students •    $82,366 to $90,579 pa (Level 5) + 13.75% superannuation    ABOUT THE UNIVERSITY The University of Notre Dame Australia is a private Catholic University with over 1,000 permanent staff providing an exceptional educational experience to over 12,000 students across our Fremantle, Broome, and Sydney campuses, as well as clinical schools in Victoria and New South Wales.   ABOUT THE OFFICE  Student Administration provides expertise, service and operational support across a broad range of functions that support the academic decisions of the Faculties, Schools and other relevant departments at the university. This includes Timetabling, Enrolment, Student Fees, Graduation, Examinations and other compliance and administrative functions.   ABOUT THE ROLE The Timetabling Officer is responsible for contributing to the delivery of timetabling services across all campuses of the University with a particular focus on Sydney campus. The role reports to the Timetabling Coordinator. The position provides efficient and beneficial administration support which include the following key responsibilities: Key Responsibilities  Prepare, publish and maintain the official University academic and examination timetables, utilising a range of systems and spreadsheets.  Liaise with Schools, Faculties and Offices to create an accurate timetable, create, revise and upload course offerings  create classes, as well as publish census and penalty dates. Support the enrolment process of the university ensuring that classes are timetabled to accommodate student preferences, where possible, and to create and maintain the academic calendar of teaching sessions. Support the admissions processes of the university, ensuring that timetable processes and timelines  for students link to admission timelines, enrolment scheduling and governance. Ensure that rooms are allocated to achieve maximum usage capacity and that scheduling conflicts are resolved appropriately. Identify and contribute to the resolution of problems, ensuring liaison with all relevant stakeholders, to find appropriate solutions around potential conflicts of interest in room utilisation. Allocate rooms and resourcing for one-off academic venue bookings. Provide ongoing training, support, and system access to School and Faculty staff involved in timetabling, including the effective use of the timetabling systems. Monitor room usage, class sizes, building capacities and producing timetable-related statistics and course offerings data in conjunction with Schools and training of School staff in relation to Commonwealth Department of Education requirements. Assist with administrative and student record updates, referred student enquiries and front counter support as requested by the Timetable Coordinator. ABOUT YOU  Completion of a degree without subsequent relevant work experience, or an equivalent combination of relevant experience and/or education/training. Demonstrated administration experience, preferably in tertiary or other education sectors. Experience using PeopleSoft Campus Solutions and timetabling applications such as CELCAT, Allocate+ (Desirable) Experience using large scale networked information systems, databases, spreadsheets and word-processing software including data extraction and intermediate Excel skills. Demonstrated time management and organisational skills, with  the ability to manage multiple work tasks, achieve deadlines and maintain accurate records. Ability to collaborate across multifunctional teams, providing a high level and responsive service. Demonstrated analytical and problem solving skills including strong attention to detail.Proven ability to work independently and as part of a hybrid and dispersed team. Demonstrated interpersonal and oral communication skills, including the ability to liaise with management, and colleagues to establish effective professional relationships. Ability to exercise judgment, initiative, diplomacy, tact and discretion as well as proven experience handling sensitive and personal information in a confidential and appropriate manner.
