A short term position providing administration support across the key events of WOMADelaide and Illuminate Adelaide (festivals) and APA Touring.
The role requires advanced communication and organisational skills as well as the ability to manage and direct front of office enquiries and is based at Reception.
Experience in MS Office programs including Excel, Word, Outlook, database scheduling and good written communication and email management skills in support and assistance of various festival departments - marketing, sponsorship, production and programming as required.
This role will provide Administrative support to the Directors and Administrator and also provides general support across the festivals and respective departments - Production, Marketing, Program and Artistic Operations.
The Administration Coordinator role is a key part of the organisation and requires excellent communication skills, organisation and experience in event management to be responsive to the festival cycles and related critical delivery deadlines.
Central to this is the ability to work in a calm and efficient manner across the departments.
Commencement Date: Monday 20 January 2025 Termination Date: Friday 21 March 2025 Reporting to: Di Farrell Key Responsibilities
Answering phones and transferring calls.
Redirecting any emails and RSVPs as required to colleagues.
Organising and coordinating any duties at reception as required.
Seeking out additional work if the reception workload becomes light.
Keeping a record of all contacts and suppliers for future use.
Organising local and interstate couriers on request and organising the post each afternoon.
Assisting with administration/marketing related to APA tours, including data entry, distribution, RSVPs etc.
as required.
Assisting WOMADelaide operations and marketing departments as required.
Assisting the Volunteer Coordinator position as required with the preparation of volunteer info packs and artist info kits.
Assisting the box office manager with any ticketing queries and assisting in ticket sales if required.
Assisting Illuminate Adelaide operations, marketing and development departments as required.
Assisting Directors as required.
Written and phone communication.
Assisting with invitation lists, corporate and donor hospitality and related events.
Working closely with the relevant staff on function guest lists at VIP hosted events.
Assisting Administrator with office logistics.
Workplace Conduct
Adhere to and comply with organisational policies and procedures including WHS requirements.

Vehicle Insurance
It is a condition of this contract that if you use your vehicle for work-related travel it is to be insured for at least third party property damage.
The insurance must extend to the use of the vehicle in the business of APA and the Festivals.
Remuneration: Casual, LPA level 3, @ $33.31 per hour plus SGC% paid fortnightly pro rata for the term of this contract position.
Hours of office: Monday to Friday, 9-5.
