Key Responsibilities:Organise and coordinate internal meetings, training sessions, social events, and workshops for clients.Manage domestic and international travel arrangements in line with WPP Travel Policy.Provide IT support to team members and escalate issues to the Service Desk as needed.Collaborate with key stakeholders to oversee team events, annual leave, and training planning.Executive Support:Handle complex diary management, ensuring efficient scheduling of both international and domestic travel.Approve timesheets and coordinate approvals for necessary documents.Prepare and compile materials for executive-level meetings, including minutes and action items.Conduct monthly reconciliations of expenses and support various key projects.Finance Support:Ensure compliance with SOX regulations and manage corporate card activities, including timely reconciliation of payments.Conduct monthly reconciliations for travel and courier accounts and manage the setup of suppliers and clients in financial systems.Monitor the employee gift budget and provide monthly summaries of in-house expenses to the Finance Manager.Approve supplier invoices and manage the Uber Business account for staff transport.HR Support:Work closely with the HR Coordinator to facilitate smooth onboarding and offboarding processes for new and departing employees.Confirm work locations and manage IT requests for new starters using the JIRA system.Schedule onboarding meetings and training sessions, and post welcome announcements for new hires.Maintain organisational charts and coordinate team celebrations, including anniversary vouchers.Office Administration:Supervise office maintenance and liaise with the Facilities team to ensure a well-functioning workplace.Manage the office supplies budget and uphold adherence to office policies.Lead initiatives to enhance office culture and oversee incoming and outgoing mail.Coordinate catering for meetings and manage media subscription payments.In order to be successful for this opportunity you will need a high degree of initiative, common sense, a positive attitude, independence, and be a proactive individual with prior admin experience with the ability to prioritise a large workload. You must be flexible, reliable, and able to adapt to different environments in this very busy and fast-paced role.
