Our opportunity As Team Assistant, you will provide secretarial and administrative support to the Mirvac Design team. You will provide exceptionally memorable and rewarding experiences to our team, clients, and internal and external stakeholders. The successful candidate will be required to work from the office 4 days per week.
In this role you will be responsible for:
Ensuring the customer experience is encompassed in all aspects of the role.Building collaborative relationships with key internal and external stakeholders.Organising activities, engagement initiatives, conferences and events.Organising meetings and room bookings and preparing and distributing minutes/action items in a timely fashion.Organising travel requirements for design team members.Supporting general studio and workplace operations, including coordinating with HS&E and Mirvac procurement and premises team.Preparing reports and additional correspondence including papers, presentations, briefings and proposals.Collating and distributing legal contracts and documentation for submission, approvals and sign off where required.Proactively assisting with administration requirements for the team, including but not limited to mail distribution, printing, photocopying, IT equipment, cab charges, stationary etc.Accurately processing invoices and expenses and following up on payment in accordance with allocated deadlines.Driving improvements and maximising efficiency of administration processes and assisting with maintaining appropriate systems and procedures.Completing tasks accurately, on time and to a consistently high standard.Working collaboratively with national teams to deliver divisional initiatives and contributing to the implementation of the strategy.Adhering to Mirvac policies and procedures and internal reporting deadlines, and providing accurate and high-quality reports, and quick responses to requests for information.Assisting with any projects, or undertaking additional duties as reasonably required.Supporting HR people requirements – e.g. approving recruitment and employee change requests, organising signing of documentation, facilitating the onboarding and training of new employees, and ensuring accurate access and set up on commencement date.Your point of difference The successful candidate will have prior experience working in a Personal Assistant or Admin Management capacity. You have the ability to manage conflicting priorities, and maintain high levels of confidentiality and discretion. You are a proactive and self-motivated individual, with the ability to solve problems, improve system and procedural efficiency and effectiveness, and resolve issues as they arise. An advanced level of IT proficiency (Microsoft Office, MRI, Cost management software, Salesforce) is highly desirable. Exceptional interpersonal skills, administration, time management and organisation skills are a must. You are a team player who operates collaboratively, professionally and empathetically with all team members and stakeholders.
