In the role of Executive Assistant/Office Manager, you'll be integral to supporting our Executive Leadership Team (ELT) and ensuring that our awesome office spaces across the globe operate seamlessly. What you will do: Executive Assistant Duties: Calendar Management: Take charge of coordinating and managing the schedules for the Executive Leadership Team, expertly liaising with clients and organising meetings and appointments with accuracy and strong attention to detail. Travel Arrangements: Organise seamless business travel by handling flights, accommodations, and itineraries while ensuring every detail is meticulously attended to. Document Preparation: Support the creation of reports, presentations, and memos, ensuring they are polished, professionally formatted, and delivered punctually. Meeting Coordination: Take the lead in preparing meeting agendas, documenting minutes, and tracking action items to facilitate effective discussions and timely follow-ups. Office Management Duties: Office Operations: Take charge of the day-to-day tasks that keep our office running like a well-oiled machine! This includes managing supplies, organising the workspace, and coordinating with vendors to ensure our locations thrive in efficiency and comfort. Team Engagement: Get ready to spark joy! Plan and coordinate exciting company events, including team-building activities and celebrations that enhance our warm and collaborative culture. New Employee Onboarding: Extend a heartfelt welcome to our new team members by guiding them through a seamless onboarding experience, ensuring they feel right at home from day one. Facilities & Vendor Management: Ensure our office facilities shine by managing maintenance across all locations and collaborating with service providers to keep everything running seamlessly. What you'll need Organisational Skills: You effortlessly keep schedules, meetings, and tasks on track, ensuring everything runs smoothly. Communication Expertise: Your exceptional verbal and written communication skills foster seamless collaboration and connection with others. Tech Savvy: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other essential office tools is highly advantageous.
