About the role.
We are looking for a Team Administrator who can focus on delivering outstanding client service, timely completion of work and efficiency in operations.
This is an all-rounder admin role, supporting our small team at Carbon Toowoomba .
There will be some time spent on Reception, answering the phone and greeting clients, as well as providing support to our team of Accountants.
This role is based full-time in our Toowoomba office.
The ideal candidate will have experience working within a tax practice and understand the flow of accounting work, the need to follow up clients, manage deadlines and the importance of data base integrity and overall practice management.
Your daily activities will include (but aren't limited to): Reception, including greeting clients, answering & directing telephone calls Facilitate the onboarding process for new clients, including obtaining ethical clearance from previous accountants.
Finalise proposals, engagement letters, and advisory documents.
Coordinate the tax return lodgement programme, including internal reporting and submission of tax returns to the ATO.
Prepare and establish new client jobs for annual compliance tasks.
Compile client tax packages, including financial statements and tax returns.
Communicate with clients to obtain signed documents.
Manage client inquiries and communications.
Schedule client appointments and meetings.
Maintain accurate client files and records.
Follow up with clients regarding outstanding information or payments.
Assist with billing and invoicing processes.
Ensure compliance with regulatory requirements and deadlines.
Provide administrative support to the tax team You'll be perfect for the role if: You love a bit of team banter and activities You want to be part of the coolest firm in Australia You're keen to join a company that encourage you to define your own career path We're looking for someone with: A background or past experience in a similar role in the accounting/financial sector would be highly regarded along with the skills and expertise below: 2-4 years experience in a similar admin role A love for all things admin and organisation Positive and proactive mindset Capacity to manage workflow priorities and perform effectively under pressure Able to work autonomously while also collaborating effectively within the wider team Proficient in Microsoft Office and other software applications Demonstrate exceptional communication and interpersonal skills, fostering relationships internally and externally Maintain strict confidentiality and meticulous attention to detail Knowledge of Xero, Xero Practice Manager, SuiteFiles, Practice Ignition and ATO Lodgement portals would be an advantage Ready to apply?
