We are seeking an experienced and passionate individual to join our team in this full-time Team Administrator role based in Ashgrove.
About Us Hear and Say is a Queensland wide provider of speech pathology and audiology services. The Role A rewarding and exciting role, this role will provide quality, timely and confidential administrative support services to the Chief Executive Officer (CEO), and the Leadership Team, along with supporting the Business Support Team (administrative and reception functions) to contribute to the best possible experience for internal and external stakeholders.
CEO and Leadership Team support includes preparing draft internal and external correspondence, travel arrangements, financial activities (e.g. invoice payments and credit card reconciliations), database management, coordinating meetings, agendas and taking minutes, compile, coordinate, collate reports and follow-up stakeholders on agreed actions until completed.
In the role of supporting the Business Support Team, you will act as the 'voice' and 'face' of the Hear and Say, providing professional and timely communication, advice and support to families, visitors and other external clients either face-to-face, over the telephone or via email; rectify issues and provide suitable solutions, maintain the general tidiness of the public areas and provide support to the wider Business Support Team in other centers.
About You To be successful in this role you will have experience in a personal/executive assistant role or other relevant administrative experience, ideally in a health-related industry, disability, or the not-for-profit sector (exposure to NDIS and practice management software will be highly desirable). You will also possess:
Demonstrated ability to provide high-level administrative support, including drafting correspondence and minute taking to a high standard.Excellence in customer service, meticulous attention to detail as well as effective time management, ability to multi-task, exceptional organisational and problem-solving skills and ability to thrive in a busy and dynamic work environment.Highly motivated with strong interpersonal and communication skills, including an ability to work effectively in a team or autonomously and communicate with stakeholders at all levels.A high level of initiative, integrity, tact and discretion in dealing with sensitive and confidential matters, possession of a professional work ethic, flexibility and adaptability to changes in the work environment, and a high degree of motivation with a capacity for sustained, quality output.Proficiency in Microsoft Office (including Outlook, Word, Excel and PowerPoint).Mandatory requirements of this role include: Eligibility to clear probity checks including disability worker screening and working with children check (Blue Card / Yellow Card).Criminal history check clear of dishonest type offenses.What We Offer Working at Hear and Say comes with rewarding experiences and opportunities to grow your career, personally and professionally.
