Location: Brisbane, QLD Contract Type: Fixed-term, 0.6 FTE (flexible hours during office hours, options for 3 days a week or shorter days)
About the Institute of Faith Education (IFE): The Institute of Faith Education (IFE) is a National VET Regulator (NVR) Registered Training Organisation (RTO) that provides courses in ministry, theology, and community services.
We support a diverse range of students, including staff from Catholic agencies and senior secondary students.
Established in 1976 by Archbishop Francis Rush, IFE is a trusted educational partner committed to equipping learners to foster vibrant communities grounded in justice, faith, hope, and love.
Role Objective: The Student Services Coordinator will provide efficient and effective coordination of student services, ensuring alignment with IFE's mission and values.
This role is vital for managing client support, course administration, and student record management, requiring a proactive administrator with strong client service skills and meticulous attention to detail.
Key Responsibilities: Client Support:
Build and maintain positive relationships with students, clients, and stakeholders.
Provide information and support to students, including guidance on using the Learning Management System and video conferencing tools.
Escalate issues to the Registrar or Senior Education Officer as needed.Course Administration and Compliance:
Maintain current knowledge of VET compliance and quality assurance relevant to the role.
Collaborate with the Registrar and Senior Education Officer to manage course administration effectively.
Ensure tasks are completed within deadlines, managing a busy workload autonomously.Student Record Management:
Adhere to policies and procedures for accurate student record management.
Process enrolments and certificates within required timeframes, focusing on compliance.
Assist in evaluating systems for records management and student services.Communication and Collaboration:
Work collaboratively with IFE staff to contribute to projects and team activities.
Support efficient teamwork within the IFE environment.Other Duties:
Undertake administrative tasks as required for the effective functioning of IFE.
Maintain a safe workplace and comply with relevant legislation and ethical standards.Desirable Qualities:Strong interpersonal skills to build respectful relationships with students and staff.Ability to work autonomously while being a collaborative team player.Detail-oriented with effective time management skills.Personal Qualifications/Attributes:Intermediate computer skills with experience in managing databases and Smart Sheets.Strong administrative and customer service experience.Knowledge of the Vocational Education and Training (VET) sector is preferred.Commitment to maintaining confidentiality and demonstrating integrity.Possibility of Extension: While this role is initially for one year, we are looking for a candidate interested in longer-term work, with the possibility of extending the contract into 2026.
