About the role MTPO, VIDA is seeking to engage a Business Services Officer who will be responsible for providing key administrative functions within the Business Services team.
You will be a highly focused and driven person who is passionate about contributing to the delivery of public infrastructure, working within a high-performing project team. You will enjoy a fast paced, dynamic workplace where you will have the opportunity to manage key operational functions and accountability for decisions on travel and office supplies expenditure.
Provide office, building services and business support to MTPO staff, responding to requests in a timely and professional manner.
Undertake a broad range of key administrative and office support tasks, including overseeing audits for various areas of Business Services including fleet vehicle checks and log books.
Coordination of domestic travel requests for flights, accommodation, cab vouchers, and fleet vehicles. Manage the review and auditing of MTPO driver registrations, collecting and uploading fleet vehicle log sheets each month, arranging repairs and services where needed.
Coordination of stationery and office supplies procurement following approved business processes.
Develop and maintain working relationships with internal stakeholders, suppliers, DTP corporate service functions and service providers.
Update and manage administrative and business procedures and ServiceNow library as required.
Support the Business Services Team and broader MTPO with any other project issues and tasks as required.
What you'll bring to the role Demonstrated experience in the provision of office support services. Proven experience and ability in tracking and managing requests for assistance using a structured process. Well-developed written and verbal communication skills, with the ability to effectively resolve issues. Experience with fleet and domestic travel coordination. Ability to take initiative, schedule and prioritise own tasks, work with minimum guidance and meet deadlines. Excellent computer software skills, including the use of Microsoft Office suite, and records management processes using an electronic records management system.
