The Role
An exciting opportunity exists for an experienced Team Assistant to provide confidential executive, project, and administrative support to the Executive General Managers.
There are two Team Assistant vacancies, with one position reporting to the Executive General Manager (EGM) Development and Delivery and one position reporting to the Executive General Manager Customer and Energy Markets. This role will also provide guidance and some functional support to their leadership teams.
Key responsibilities:
Provide administrative support for EGMs, including diary management, expense handling, travel arrangements, document preparation, meeting coordination, minute taking, and follow-up on actions and deadlines. Assist in the preparation, editing, and formatting of reports, presentations, and documents for the EGM's leadership teams. Ensure accuracy and adherence to established guidelines. Events management, assisting in the organisation of leadership team offsites, ordering catering for meetings. Onboarding assistance for direct reports of the EGMs. Assist the wider departments manage purchase orders, invoices and expenses, including raising and receipting purchase orders, processing invoices. Foster effective communication and collaboration within the team and across other business units. Assist in coordinating cross-functional projects and initiatives as assigned. Identify opportunities to streamline administrative processes and propose improvements for increased efficiency and productivity within the team. Implement approved changes and share best practices with team members. Actively contribute to the Business Support Team through involvement in projects, business, system and procedures improvements including providing leave coverage for broader Team and Executive Assistants as required. About you
You will have:
Previous experience in a similar administrative support role. Polished, professional and service-oriented demeanour at all times. Advanced knowledge of Microsoft Office Suite (i.e. PowerPoint, Word, Excel, and shared collaborative tools such as SharePoint and/or OneDrive for Office 365). Demonstrated experience with procurement, budgeting and/or project management software tools. Self-starter who improves processes for departmental and company-wide effectiveness. Flexible in supporting management/departments, prioritising tasks based on workflow and interdepartmental needs. What's on Offer
