Site Coordinator – People & Village ServicesJob Title: Site CoordinatorLocation: Site Based - FIFO (From Perth to the Pilbara, WA)Roster: 5:2 4:3Contract: 6 monthsHours: 12-hour days (including fly days)Start Date: ASAP, before Christmas 2024Position Purpose:The Site Coordinator provides administrative support and coordination assistance to the Superintendent. This role focuses on customer service and contractor service quality to ensure operational effectiveness and meet stakeholder needs. Additionally, the role involves assisting with Travel/Flight & Accommodation management tasks as needed.Responsibilities & Accountabilities:Village & Aerodrome Coordination Support:Execute goods release, work orders, service requisitions, and service entries in SAP.Assist with distributing site communications and information bulletins.Liaise with stakeholders to ensure timely responses to information and assistance requests.Generate and analyze daily, weekly, and monthly reports for the Superintendent.Coordinate with internal and external stakeholders to ensure effective communication and support for key contractors.Provide information to support decision-making on village and aerodrome management.Assist with flight and accommodation allocation for site-based employees, contractors, and visitors.Review and audit contractor work to ensure high-quality services for camp residents.Manage filing and documentation of Village and Aerodrome activities.Additional Travel Management Support:Manage expenses, accommodation, travel bookings, and amendments as required.Support site access and flight administration in relevant software systems.Identify and resolve abnormalities or missing information related to site access and flight submissions.Ensure site access systems, processes, and procedures are up-to-date and efficient.Other Responsibilities:Support other Department Managers and Leaders as needed.Generate department reports and analyze data as required.Assist with Village Engagement Committee meetings and take minutes.Undertake other tasks and duties as directed by the Superintendent.People & Behaviours:Demonstrate high personal accountability to meet timelines and deadlines.Perform tasks professionally and diligently, showing initiative.Share knowledge and expertise with the team for optimal outcomes.Establish and maintain strong working relationships with stakeholders.Exhibit strong time management and organizational skills.Work autonomously and as part of a cross-functional team.Manage daily tasks and emerging priorities effectively.Communicate excellently in verbal, written, and interpersonal forms.Identify opportunities for continuous improvement and escalate them appropriately.Maintain discretion and confidentiality at all times.Essential Qualifications, Licenses & Tickets:Diploma in Business and/or Business Administration or similar.Competency in the INX system, including InFlight for managing flights and accommodation modules.Previous supervisory experience.Experience in the hospitality industry within rooms division teams.Essential Knowledge & Experience:Proven experience in an administrative and/or secretarial position.Advanced skills in Microsoft Office Suite (Word, Access, Excel, Publisher, PowerPoint & Outlook), Adobe Acrobat, and Visio Professional.Experience using SAP, INX, Inflight, and data management systems.Strong attention to detail, numerical accuracy, typing accuracy, and customer service.If interested please apply, shortlisting will commence before December 2024.
