The position of Office Administrator plays a crucial role in supporting daily office operations by managing shipping documentation and processes, raising purchase orders (POs), and maintaining back order reports. This position ensures smooth workflow by coordinating with suppliers, internal stakeholders, and external partners, in order to meet the business needs efficiently. A high level of detail and proactivity is required to maintain accuracy, customer satisfaction, and operational efficiencies.
Key Responsibilities: Prepare and process shipping documentation (invoices, packing lists, etc.)Track shipments to ensure timely delivery and escalate issues that may ariseLiaise with warehouse teams to manage timely receipting of inbound deliveries where requiredRaise and issue purchase orders to suppliers following an approval processAddress invoice vs PO discrepancies as they occurMaintain an accurate record of POs, invoices, test certificates, bills of lading, and any other relevant information/documents pertaining to inbound deliveriesGenerate, maintain, and distribute back order reports to corresponding suppliersMonitor products on back order and follow up as to reasoningProvide regular reports to management on the status of supplier deliveries, via SIFOTIdentify trends or issues in backorder patterns and recommend corrective actionsEnsure records are accurately maintained and easily accessibleMinimum Requirements: Proven experience in purchasing, logistics, and/or supply chainFamiliarity with shipping processes and related documentationKnowledge of purchase order systems and supplier managementStrong proficiency in Excel and exposure to ERP systemsExcellent organizational and multitasking skillsStrong attention to detail and problem-solving abilitiesAbility to communicate effectively with internal and external partnersProactive, out-of-the-box thinkerCustomer focusedCompany Culture: Professional but relaxed company cultureMonthly team BBQEmployee Assistance ProgrammeIf the above sounds like you, please submit your details through the application form and we'll be in touch ASAP.
