The Services Contract Manager is responsible for managing contracts across all facilities services at Fed Square. The role is pivotal in elevating service delivery by enhancing Key Performance Indicator (KPI), analysing data for efficient maintenance and asset replacement decisions, and leading the procurement of assigned building services. The Services Contract Manager will ensure that all facilities and buildings comply with statutory, legislative, and code requirements, as well as adhere to MAP Co policies and procedures, fostering a safe and welcoming environment for staff, tenants, and visitors.

Organisation Overview
MAP Co is a state government entity responsible for the delivery of the Melbourne Arts Precinct Transformation project as well as the operations, programming, promotion and maintenance of Federation Square and the new Melbourne Arts Precinct public spaces.
Federation Square supports a diverse mix of businesses that service residents, CBD workers and local and international visitors alike. It is proudly home to nationally significant resident cultural institutions the Koorie Heritage Trust (KHT), the Ian Potter Centre: NGV Australia (NGVA) and the Australian Centre for the Moving Image (ACMI). MAP Co works collaboratively with these organisations to support and leverage a holistic approach to precinct programming.
Key Responsibilities and Accountabilities:
Act as the primary point of contact between the organisation and external contractors.
Organising servicing requirements, ensuring the effective completion of service tasks, and managing these processes in accordance with our quality and financial requirements, as well meeting the relevant standards and regulatory requirements nationally or state based.
Champion and implement sustainability initiatives in line with organisation's social responsibility objectives and foster continuous improvement with contractors.
Responsible for coordination of all allocated reactive and preventative maintenance activity for infrastructure, plant and equipment, ensuring engagement with relevant stakeholders to minimise any impacts on their daily operations.
Responsible for compliance with contractual obligations and standards.
Anticipate the broader effects of maintenance works and arrange and implement mitigation strategies to address these.
Maintain Key Performance Indicators (KPIs) to measure and track the performance of building service contracts.
Conduct regular safety audits and inspections to identify and address potential hazards.
Work closely with contractors to implement corrective actions and improve safety performance.
Accurate recording and reporting in relation to all maintenance contracts, routine maintenance activities and ad-hoc maintenance requests.
Analyse asset and operational data, to identify opportunities for improvement and efficiency in preventative maintenance and asset replacement.
Monitor asset performance in line with service level expectations and recommend options to meet corporate objectives and legislative requirements.
Collaborate with the Capital Works Team on the delivery of capital works and scope business cases for capital improvements.
Adherence to procurement processes for the Facilities department, which includes preparing the tender, scope, adherence to social procurement objectives and associated documents.
Financial management including the development of OPEX budgets and processing invoices/purchase orders.

Key Selection Criteria
Services Management: Extensive experience in managing buildings and infrastructure to the required performance service levels. Ability to effectively analyse asset data and comprehend service reports that contribute to decision making of required maintenance tasks and scheduled asset replacement.
Contract Management and Compliance: Proven experience in developing, executing, and overseeing contracts for maintenance tasks in a venue/precinct setting. Thorough knowledge of legislative and code requirements related to building services, along with a track record of ensuring compliance and adherence to company policies throughout maintenance activities.
Project Management and Stakeholder Collaboration: Competence in leading and managing projects within the realm of building services, including project documentation, planning, and implementation. Adept at facilitating effective communication and collaboration with tenants, stakeholders, and internal teams, both for planned maintenance initiatives and swift resolution of unexpected issues.
Safety Focus and Compliance Management: An unwavering commitment to safety and compliance within all maintenance activities. Demonstrated ability to ensure that all maintenance actions align with statutory regulations, legislative mandates, and company policies. Proficiency in implementing and enhancing safety protocols and processes, with a track record of prompt response to emergencies and equipment failures.
