What's therole? The ServicesAdministrator is responsible for administrative support totargeted clinical work programs at Therapy Focus. Beingactively involved at the site of the clinical services, theServices Administrator ensures that the customer experience isseamless from the point of service application to departure.Using systems and software, the administrator is responsiblefor setting up records and processes that help customersprogress through their journey to access the targeted serviceand support the reconciliation of funding andpayments.
KeyResponsibilities: Coordinate andfacilitate the service timetable to ensure the targeted serviceruns according to schedule. Work under businessleaders' guidance to ensure service coordination, from securingfunding and customer applications to billing forservices. Manage onboarding ofclients for the targeted service, including triagingapplications for the service and re-direction to other areas ofthe business when required. Liaise with customersand clinicians via phone, email, or in person to schedule,remind, or follow up on appointments using agreed-upon softwareprograms suitable for the targeted service. Maintain clientdocumentation according to the requirements of recordslegislation, internal procedures, and Therapy Focus'client management database. Ensure services are setup in Therapy Focus systems and processes to support accuratebilling for services by the Finance team. Manage telephone callsand follow-up enquiries related to the targeted service asappropriate. Maintain administrationsystems, including calendars, records, mail, saving, filing andarchiving as per Therapy Focus policies andprocedures. Arrange and facilitateappointments and meetings with customers and clinical teamsinvolved in the targeted service, including arranginginterpreters if required. What do weoffer? Mandatory At least 2 yearsexperience in an administration role in a complex, largerorganisation Customer-centric individualfocusing on delivering extraordinary service Ability to perform morethan one task at a time and solve problems quickly Clear written and verbalcommunication Ability to workautonomously and collaboratively as part of a team Excellentorganisational, time management and prioritisationskills Sense of responsibility,to 'own the job' until completion High attention todetail Experience in diarymanagement Experience in thenot-for-profit and/or disability /or health /or governmentsectors Experience rostering orscheduling a group of clients and/or staff At its core, TherapyFocus' philosophy aims to celebrate differences in all that wedo.
