Role We are seeking a highly organised and proactive Administrative Assistant to join our team at Auburn High School, specifically assigned to support the administrative needs of our senior school in our new school building, which will primarily house our Year 11-12 cohort. The successful candidate will play a crucial role in ensuring the smooth operation of administrative functions. Training will be provided to support you in this role. The position offers regular hours from 8:00 am to 4:06 pm, Monday to Friday.
Key Responsibilities:
1. Provide administrative support to our new school building opening in Term 2 2024
· Assisting with booking camps/excursions/activities
· Printing student awards and certificates
· Setting up and supporting the running of exams including liaising with exam coordinator and exam supervisors and co ordinating year 11-12 examinations
· Maintain accurate senior school attendance records and producing fortnightly reports for Year Level Leaders.
· Provide admin support to the principal class and teaching, focussing on the needs of our student cohort in the new building.
2. Manage sub-school reception within the new building, ensuring a professional and welcoming environment for all visitors.
3. Provide administrative support to the principal class and teaching staff, focusing on the needs of our student cohort in the new building.
4. Assist the Career and Pathways Manager with career-related administration and events, such as Work Experience and VET programs, and events onsite.
5. Assist with VASS administration, including data entry, document distribution, and maintaining accuracy of records.
6. First Aid as required.
7. Undertake additional duties as assigned by the Principal or Business Manager.
Qualifications and Skills:
Previous experience in an administrative support role, preferably within an educational setting. Proficiency in Microsoft Office Suite and experience with school management software (e.g., CASES21, Compass, VASS) is highly desirable but not essential. Strong organisational and time management skills, with the ability to prioritise tasks effectively. Excellent communication skills, both written and verbal, with the ability to interact professionally with diverse stakeholders. Attention to detail and accuracy in data entry and record keeping. Ability to work independently and collaboratively Flexibility and adaptability to handle multiple tasks and deadlines. A positive attitude and a commitment to providing excellent customer service to all stakeholders. Auburn High School is the only Victorian government secondary school offering a bi-national French program. The French program is internationally recognised and offers students a creative, dynamic, and modern approach to language learning. The program has been designed to meet the requirements of both the Victorian and French governments (i.e., it meets the Victorian Curriculum requirements) and the French instruction officielles (aefe). The depth of our school culture is also added to by our international student program. Over 60 students choose our school and play a significant role in broadening local students¿ perspectives.
