Job Title: Full-time Senior Receptionist/Administrator
We are seeking an experienced reception/administrator to join our Clinic Support Team, playing a vital role in supporting the day-to-day operations of our busy mental health clinic.
Key Responsibilities Support Clarity Health Care staff and patients effectively. Ensure the clinic is presented and maintained at a high standard and that safety standards are met. Work independently to ensure the smooth running of the clinic. Answer phones and welcome patients into the clinic. Support clinicians with administrative tasks. Demonstrate strong administration skills and attention to detail. Provide administration support for partner programs, including billing, data entry & reporting. Prepare and maintain Partnership reports when required. Communicate regularly with internal and external stakeholders. Understand Clarity Health Care services, including referrals, billing, and consultation fees. Maintain strict confidentiality at all times and understand privacy policies. Handle difficult calls calmly. Complete tasks efficiently and ask for team assistance when needed. Work autonomously and collaboratively in a team environment. Prerequisites Experience in a similar administration role is highly regarded. Excellent customer service skills with a friendly and empathetic attitude. Proficient in using Word, Excel, PowerPoint; experience with Halaxy is an advantage. Open to learning new software programs. Prior experience in billing and maintaining systems using different medical software is highly regarded. Excellent verbal, written communication, and interpersonal skills. Knowledge of mental health services. Ability to work as a reliable and trustworthy team member. Able to multi-task and prioritize under pressure. Comfortable adapting to change and following practice procedures. Understand the importance of patient confidentiality. Enjoy working within a supportive team.
