Role OverviewWorking directly with Language Testing Portfolio and Product teams, you will ensure the administrative functions of the program and governance obligations are being met – maintaining the effective execution of our program delivery processes. You will be working closely with stakeholders, delivery/governance teams, product managers, senior stakeholders and delivery teams to facilitate and enable successful program delivery.
As a Senior Program Coordinator, you will be responsible for coordinating key program artifacts, ceremonies and events including Program Increment planning, Steering committee, maintaining portfolio registers, benefits tracking, organising workshops and meetings, taking minutes throughout delivery of various Language Testing initiatives within the program.
Working out of our Melbourne Quarters office amidst our collaborative team, you will work with product and digital teams in Melbourne, London and Chennai and be responsible for the day-to-day coordination across the program.
ResponsibilitiesEnd to end best practice program coordinationWork with Portfolio Manager to develop, drive, and implement program goalsManage communications and deliverables from all stakeholders for the programDocument Control (ensuring latest documents are collated and issued)Consultant / Third party work allocation & coordinationReviewing and managing development costs (control all cost entries)Support program team to achieve key initiative timelinesMonitor quality and standardsActing as a lead across a number of initiatives, leveraging the support of the Program Manager for overall delivery guidanceEstimate, plan and deliver to the agreed timelinesEnsuring correct program hygiene and artefacts including terms of reference, canvases, roadmaps, design artefacts, success measures, project plans, risk, resource management and retrospectives are in placeEnsuring quality and focus on the customer experiences with an eye to improveTracking the outcome of product delivery against the original business case and metrics which initiated the activityPreparation and provision of program tracking reports for program use, stakeholder management and steering committee requirementsMinutes and actions follow up as assigned from program and product meetingsControlling the program artifact database so that deliverables are recorded/accessible during and after product completionCollaboration and Performance TrackingThis is a global role and needs global collaboration to deliver, including:
Collaboration with delivery teams globallyAttending PM communities of best practiceWorking closely with product managers/owners and other coordinators to ensure integration points and dependencies.Ensuring program communication and reporting is clear to all whilst being light on timeAssist in the coordination of PI planning processRoadmap and tracking innovation performance by ensuring Program initiatives funding, resourcing and planning is signed off.Progress reporting on initiatives, identifying issues and escalating where appropriate.Continually looking to how we can improve upon what we do for our customers and how we can improve business agility and performanceTracking program delivery performance to time, scope, budget and outcomeUtilising PM tools such as gantt, roadmaps, Kanban where such tools are fit for purpose in the context of the individual initiative and programRequired ExperienceHands on, self-managed, proactive approach to the roleMethodical, structured, with a dedicated eye for detailMulti-tasker with ability to juggle many activities and communicationsCreative flair and innovative approachDemonstrated experience effectively coordinating programs of workAdept at building effective relationships and working with several stakeholders to deliver targetsAbility to track and manage program finances at a detailed level (capex, opex, etc)Ability to work under pressure, change direction when required and work on a range of projects at the same timeAdvanced communication skillsInfluencing skills – able to articulate a viewpoint with clarity and conviction and positively influence stakeholdersRelationship management – building and maintaining strong and trusted relationships with internal and external stakeholdersAbility to engage C Level stakeholdersStrong Leadership skillsCross cultural awareness and sensitivity, respecting diversityAccomplished knowledge of the education industryExperience in working in dynamic global environmentExperience working with IELTS testsBe part of our story, as we support you to create meaningful and rewarding experiences, grow your career with purpose, and celebrate as a global team.
