Senior Portfolio Governance and Reporting Advisor THE ROLE:
The EL1 Senior Advisor, Portfolio Governance and Reporting, supports and enables the STS reforms by ensuring the establishment and implementation of robust governance structures and reporting mechanisms. This position is essential for providing Portfolio leadership providing key stakeholders with ongoing visibility of portfolio status and progress, facilitating informed decision-making across the decentralised, whole-of-government approach to STS investment prioritisation, implementation and delivery.
Central to this role is the oversight of governance, reporting, briefings and information management functions. The Senior Advisor is tasked with driving the implementation of effective Portfolio governance processes while providing secretariat support to the Portfolio governance forums. This encompasses agenda prioritisation, coordination of briefing papers, maintenance of meeting records and monitoring associated actions and decisions. To ensure program leadership is well-informed about project progress and potential issues, the officer will analyse project status reports from Program Management Offices (PMOs) and will develop and implement comprehensive program reporting and monitoring mechanisms and processes.
Furthermore, this role is responsible for establishing and maintaining rigorous information management processes and tools. This includes the application of strict version control measures to guarantee that Portfolio information remains accurate, accessible and up to date. Through strategic governance and meticulous reporting, this role is key to maintaining line-of-sight of the Portfolio, aligning with the agreed governance frameworks and contributing to the seamless execution of the STS reform's strategic objectives.

DUTIES INCLUDE:
• Developing and implementing effective governance frameworks, processes, tools and templates for the STS Portfolio, ensuring robust oversight and consistency empowering informed and strategic decision-making.
• Leading the secretariat functions for Portfolio governance forums, managing agenda prioritisation, coordination of briefing papers and the effective coordination and documentation of meetings, actions and decisions.
• Collating and analysing project status reports from Program Management Offices (PMOs) to develop and deliver comprehensive Program reporting to Portfolio leadership, ensuring that all governance activities support informed decision-making and are aligned with strategic objectives.
• Lead the development and dissemination of comprehensive reports to Portfolio governance and key stakeholders, ensuring transparency to project progress, risks and opportunities to guide strategic direction and corrective actions as needed.
• Establishing and maintaining information management processes and tools, to ensure all Portfolio information and artefacts are accurate, accessible and up to date, supporting effective communication and operational efficiency.
• Facilitate stakeholder engagement and liaison between Portfolio leadership, PMOs and other stakeholders, ensuring ongoing visibility of Program status and progress.
• Supporting transparent and effective communication across the whole-of-government approach to STS reform, enhancing stakeholder collaboration and alignment with governance expectations.
• Manage documentation and information by preparing and maintaining comprehensive project documentation to facilitate effective reporting, monitoring and evaluation.
• Lead and manage a team by guiding and supporting the Portfolio Oversight team, fostering an environment that encourages innovation, efficiency and alignment with the broader STS reform goals.
