The role:
The Executive Assistant provides support to the Chief Risk and Compliance Officer for the Pacific's Operations function.
The EA must demonstrate proactivity, be a role model for professionalism and enjoy working as part of a team of executive assistants.
Responsibilities may include but are not limited to: Proactively assess and/or anticipate Executive needs with explicit direction and take appropriate actionSchedule meetings with internal stakeholders, team members, external clients and external associations, responding to invitations and suggesting appropriate times and prepare relevant pre-readsCo-ordinate large meetings and events (leadership forums, working groups, town halls, networking events)Actively respond to emails on the behalf of the executive, identify and flag important deliverable dates/information in emails, or take urgent action as requiredAnswer phone calls, filtering and responding to each inquiry as appropriateKeep track of meetings (client, contact, and colleague) noting/communicating when the next meeting is to occur or next deadline is dueProactively arrange gifts/flowers for colleagues, clients and stakeholders as relevantProof-read, format and send communicationsMaintain general documents, channels and softwares (organisation charts, biographies etc.)
and share with relevant stakeholdersCoordinate agenda, guests and pre-reads of weekly leadership meetingsTravel coordination including air, hotel, ground transport, event venues and visas within policy guidelines and to Executive preferencesReconcile expenses/ Payment of vendor invoicesBook and prepare conference rooms, catering, services for each meetingProject coordination for projects owned by the ExecutiveCreate and format documents within Microsoft Suite for an executive audience/clientsYou will have: At least 5 years' experience – prior reporting to an Executive DirectorDemonstrated experience in managing multiple high priorities with varying deadlinesExcellent verbal and written communication skillsExceptional organisational skillsDemonstrated stakeholder management capabilitiesProven experience working collaboratively and effectively with a range of internal and external stakeholders.Strong team playerInitiative and enthusiasm with the ability to learn new tasks quicklyAdvanced skills in Microsoft suite of applications (Outlook, PowerPoint, Word, MS Teams and Excel) To Apply:
