Primary Objective: Provide proactive, high-quality executive administrative support and coordination to the Chief Executive and the wider executive team.
Key Duties and Responsibilities: Provide a high level of executive support for the Chief Executive, including complex diary management, scheduling meetings, coordinating and distributing papers, ensuring priorities and deadlines are tracked and achieved, and handling telephone enquiries and visitors. Timely coordination, preparation and quality control of a variety of correspondence, often of a confidential and sensitive nature. Liaise with all levels of departmental staff, stakeholders, and Ministerial staff to ensure professional and effective working relationships. Provide accurate advice to departmental staff on correct procedures and appropriate standards. Perform projects, research, or other tasks as required to assist the Executive Services unit. Selection Criteria: Essential: Proven capacity in providing high-quality executive secretarial support services, including coordinating a busy diary. Highly developed interpersonal skills, including an ability to communicate professionally with a diverse range of people. Demonstrated responsiveness and agility in dealing with multiple projects and deadlines. Demonstrated high-level literacy skills, including writing, accuracy, and attention to detail. Proven experience and competency in a range of systems, applications, and complex document management. Demonstrated work ethic and attitude which emulates DEPWS values. Desirable: Knowledge of Ministerial, Cabinet, and Parliamentary processes. Willingness and availability to work extended hours if required. Previous experience in providing support to a Chief Executive Officer or Executive Director.
