Seeking highly experienced Executive Assistant's with the ability to commit to a demanding schedule for two Executives.
The Executive Assistant is responsible for providing high level, confidential, efficient, and professional administrative and executive support to the Executive Director and National President. The role supports the Executive Director and National President in planning, prioritising, and managing responsibilities to help achieve the mission of the organisation.
Primary responsibilities include the effective planning, co-ordination, scheduling, and delivery of support to ensure an effective flow of information to the Executive Director and National President and relevant internal and external stakeholders.
The duties of this role include: Provide high level executive and administrative support to the Executive Director and National President including complex diary management, travel scheduling, screening calls, correspondence management, and event attendance. Analyse enquiries and requests from internal and external stakeholders, determine and take appropriate action on behalf of the Executive Director and National President, including the redirection of enquiries to appropriate personnel. Develop and maintain professional relationships with key stakeholders including elected officials, Secretariat and Branch senior management and Guild subsidiaries; key external stakeholders including political and government representatives and industry and health-related bodies. Where required, attend relevant meetings including Committees to provide secretariat support. Build a strong working relationship with the Executive Director and National President by providing timely and confidential support, anticipating needs and using initiative to ensure the smooth functioning of the Executive office. Maintain relevant databases and contact directories as required. Provide administrative support to regular meetings attended by the Executive Director and National President including minute taking. Other duties as required. Role Specific Capabilities The following work experience and knowledge is required:
Demonstrated experience in providing high level executive and administrative support to a senior executive Proficient in the Microsoft Office suite of products Substantial office administration and executive assistant experience Liaison with a wide range of stakeholders An understanding of Government relations and the political environment (desirable) This position requires skills about the following areas:
