The RoleThe Senior Executive Assistant in the Office of the Chief Executive, Regional Development Victoria provides executive secretarial, administrative, and operational support to the Chief Executive, and plays a key role in ensuring the efficient, effective, and collaborative operations and management of the Office of the Chief Executive.
The position manages the Chief Executive's day-to-day activities, liaises across the Office of the Chief Executive, senior executives, the Minister's office, external stakeholders, and key staff within DJSIR.
The position also provides diary management and support to the Executive Director Priority Projects and Business Performance.
Key AccountabilitiesProviding executive secretarial, administrative, and operational support to the Chief Executive, Regional Development Victoria and Executive Director Priority Projects and Business Performance, including:Inbox and diary management, event/meeting facilitation and preparation and coordination of activities for the Chief Executive and Executive Director.Assessing and prioritising incoming requests and material for importance, relevance, and supporting the Chief Executive to manage a complex, impactful and high volume workflow.Working across relevant branches in Regional Development Victoria to ensure financial and physical resources are managed effectively within corporate policies and processes.Coordinating management and governance meetings, stakeholder meetings and other key events, including agenda preparation, secretariat support and follow-up on action items, as requested by the Chief Executive.Other duties and support to projects as requested by the Chief Executive.Leading the administrative management of the Office of the Chief Executive to ensure appropriate business processes, workflows and systems that enable timely product delivery to the Chief Executive.Building and maintaining productive relationships, including managing sensitive matters and influencing and negotiating with a wide range of stakeholders and partners at all levels, including the Office of the Chief Executive team, the Office of the Secretary, other departmental executives and their offices, ministerial staff, business representatives and other agencies.The TeamThe position of Senior Executive Assistant forms a part of the Office of the Chief Executive within the Regional Development Victoria Group.
The Office of the Chief Executive supports the Chief Executive in leading Regional Development Victoria to efficiently and effectively deliver on the priorities of the Department and the Victorian Government.
This includes responsibility for public administration, Ministerial coordination, and the provision of high-quality strategic policy advice to the Chief Executive and communications.
About YouThe successful candidate will ideally have the following:
