Our work encompasses membership, events, communications, and advocacy.Stand-alone role reporting to the CEO.We are seeking a proactive Senior Administrator to support the CEO, Board, and special interest groups. This role ensures organisational efficiency, allowing the CEO to focus on strategic leadership with broad impact across secretariat-wide activities.
Key responsibilities: Provide administrative support to the CEO, including managing calendars, communications, emails, meetings, travel, and document preparation.Coordinate Board and Committee meetings, support Board members, manage agendas and minutes, and handle post-meeting tasks.Support governance, reporting, and communication with agencies and service providers.Triaging ASID's email accounts and directing correspondence.Support special interest groups (SIGs) including meeting and agenda coordination, managing communications, preparing minutes and meeting outcomes.Support educational webinars and manage virtual meetings and links. Support virtual meeting downloads, editing, and uploading recordings for member access and sharing.Lead best practice across SharePoint and other internal systems including electronic filing and version control.Maintain efficient and up-to-date administrative systems including contract, grant, and insurance registers.Assist in supporting other ASID activities including events. After hours work and travel may be required.Key Attributes: The ideal candidate for this role should possess the following attributes:
Experience in a C-suite support role and liaising with Board of Directors.Experience across membership organisations, event management and supporting educational programs e.g. webinars.Strong organisational skills and ability to manage multiple priorities.Attention to detail in scheduling, reporting, and documentation.Proactive and solution-oriented approach.High level of professionalism and discretion.Technologically savvy with an intermediate - advanced proficiency in Microsoft Office - Word, Excel and PowerPoint.Proficiency in Microsoft Office Suite, SharePoint and virtual meeting tools.ASID offers: A collaborative and dynamic work environment.Working remotely as well as engaging at face-to-face meetings.Option to salary package.Additional leave over Christmas.Occasional travel will be required.
