About the Role: The Senior Administrative Coordinator (HE) role is responsible for providing high quality administrative and services support within the HE Directorate across a broad range of student and academic administrative functions.
The position has five principal purposes:
To provide advice to stakeholders (course administrators etc) on HE directorate administrative processes; To drive the development of clear and concise operational guidelines for administrators; To assist with the HE administrative implementation requirements of new Melbourne Polytechnic (MP) systems (like changes to student management systems) across the HE Directorate; To support HE directorate administrative requirements pertaining to governance, quality assurance and policy; To provide ad hoc administrative support for programs/courses as directed by the Directorate Administrator HE to support excessive workloads or staff absence. Duties: Reporting to the Directorate Administrator HE, the Senior Administration Coordinator is responsible for supporting improvement to the students' academic journey via the following administrative responsibilities: To provide advice to stakeholders (course administrators, heads of program, managers, support business units etc) on HE directorate administrative processes; To drive the development of clear and concise operational guidelines for administrators; To assist with the HE administrative implementation requirements of new Melbourne Polytechnic (MP) systems (like changes to student management systems) across the HE Directorate; To support HE directorate governance (principally the Higher Education Course Committee (HECC)), quality assurance and policy updates, as directed by the Directorate Administrator HE; To provide ad hoc administrative support for programs/courses as directed by the Directorate Administrator HE to support excessive workloads or staff absence. Minimum Requirements: Appropriate tertiary qualifications and/or extensive experience in a variety of administrative roles that demonstrates the extensive knowledge and ability required to perform the role of a Senior Administration Assistant as per the key responsibilities. Demonstrated highly effective communication (both verbal and written), interpersonal and team skills and a proven ability to work within an environment requiring the use of tact, discretion and maintain confidentiality and with an ability to interact with a diverse range of industries and people. Demonstrated effective time management and problem-solving skills with the ability to be proactive, successfully arrange priorities, working independently and in collaboration with stakeholders. Well-developed presentation and reporting skills with the ability to work on multiple projects at a time and meet deadlines in a fast-paced, high-volume environment.
