The Aboriginal Health Council of South Australia Ltd. (AHCSA) is the peak body for Aboriginal health representing our 12 Members in the Aboriginal Community Controlled Health and Substance Misuse Services at state and national levels.
Our primary role is to be the 'health voice' for all Aboriginal people in South Australia.
We achieve this by advocating for the community and supporting workers with appropriate Aboriginal health programs based on a holistic perspective of health.
The Senior Administration Officer will provide specialised administrative support across various programs within AHCSA, playing a crucial role in ensuring efficient operations and fostering effective communication between departments.
This position is particularly focused on the Registered Training Organisation (RTO) and serves as a primary point of contact for students, employers, and various partners, ensuring exceptional customer service.
With a strong emphasis on Aboriginal health, the officer will assist in data management, event coordination, financial administration, and compliance activities, all while promoting a culturally competent and inclusive environment.
The ideal candidate will possess strong organisational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.
Reporting/working relationships:
The Senior Administration Officer reports to the General Manager, Operations and the General Manager of Programs.
This position is expected to work in close collaboration with all members of the Registered Training Organisation (RTO), AHCSA staff, Funding Bodies, Key Stakeholders and Community.
Statement of Key Responsibilities: Provide comprehensive administrative support to various programs and departments, including scheduling appointments, organising meetings, managing correspondence, and maintaining accurate records.Deliver timely, efficient, and high-level service to students and staff within the RTO.
Act as a primary information point for RTO students, employers, and internal and external stakeholders, ensuring adherence to AHCSA policies and procedures.Strive to provide the highest standards of customer service, maximizing the experience of AHCSA students and fostering a supportive environment for learning and development.Assist in the collection and entry of data related to AHCSA programs and initiatives, including RTO activities.Ensure data integrity and confidentiality in accordance with organisational policies and procedures.Communicate effectively with internal and external stakeholders via phone, email, and in-person interactions, providing timely and professional assistance.Support the planning, coordination, and execution of workshops, seminars, conferences, and other events hosted or attended by AHCSA and the RTO.
Assisting with logistics, participant registration, materials preparation, and post-event follow-up as required.Assist with basic financial tasks such as processing invoices, reconciling expenses, and maintaining financial records.
Collaborate closely with the finance team to ensure accuracy and compliance with relevant policies and regulations.Prepare and maintain documentation, reports, and presentations as needed for internal use, grant applications, funding reports, and other purposes.
Ensure that documentation is accurate, up-to-date, and accessible to authorised personnel.Work collaboratively with colleagues across different departments and programs to streamline administrative processes, share resources, and achieve organisational goals.Foster a supportive and collaborative work environment.Ensure compliance with relevant legislation, regulations, and organisational policies in all administrative activities.
Staying informed about changes in regulations and best practices affecting AHCSA operations.Undertake any other duties as requested and deemed appropriate within the scope of the role.Qualifications and Experience: Demonstrated experience in administrative support roles, preferably in a healthcare or community services environment.Strong organisational skills with an ability to manage multiple tasks and prioritise effectively.Excellent communication skills, both verbal and written, with a customer service orientation.Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook) and experience with database management systems.Knowledge of Aboriginal and Torres Strait Islander cultures, health issues and community contexts are highly desirable.Certificate III or IV in Business Administration or relevant field is preferred but not required.Essential Requirements: Demonstrated understanding of Aboriginal culture and issues related to health, with the ability to effectively engage with diverse stakeholders.Previous administrative experience in a health or community services setting, preferably within Aboriginal health organisations.Excellent written and verbal communication skills, with a focus on providing high-quality customer service to various stakeholders.Exceptional organisational and time-management skills, with the ability to prioritise tasks and manage multiple projects simultaneously.Experience in data collection and entry ensuring data integrity and confidentiality in accordance with policies.Proven ability to assist in planning and executing events, workshops, and seminars, with attention to logistical details.Familiarity with basic financial processes, such as processing invoices and reconciling expenses, ensuring compliance with relevant regulations.Ability to work collaboratively with colleagues across departments, fostering a supportive and inclusive work environment.Strong attention to detail and accuracy in documentation, reporting, and administrative tasks.Flexibility to undertake a variety of administrative duties as needed, responding to changing priorities and organisational needs.Benefits and Remuneration: Generous leave provisionsAdditional paid Christmas leaveProfessional development opportunitiesSalary packaging options are available as a Not-For-Profit Organisation, as well as Meals & Entertainment and Leisure & lifestyle Cards to increase your take-home pay.The Senior Administration Officer position offers an exciting opportunity to contribute to the advancement of Aboriginal and Torres Strait Islander health in South Australia.
