Administrative Assistants (Administration & Office Support)
We are seeking a Senior Administration Officer who will be responsible for providing comprehensive administrative support to ensure the smooth and efficient operation of our office. This role requires exceptional organisational skills, attention to detail, and the ability to handle a variety of tasks with professionalism and efficiency, alongside coordination of the current administration team.
This role requires remote oversight of the office team from our Canning Vale offices, alongside the Business Manager.
Key Responsibilities
Manage accounts payable, accounts receivable, bank, and credit card reconciliations, and prepare monthly reports.
Sales invoicing daily.
Weekly sales reporting for the senior leadership team.
Compile and organise documentation for business transactions and provide accounts support to customers.
Track and recover outstanding debts, issue invoices, statements, and correspondence.
Provide office support and training to team members and other departments as required.
Monitor and update compliance-related documentation, ensuring accurate records are available for audits.
Assist with data entry, record keeping, and other adhoc tasks.
Manage office systems and oversight of external correspondence with customers.
Management of all archiving and record keeping.
Assist with payroll processing.
Monitor and respond to emails covering multiple inboxes.
Implement and improve administrative processes to enhance efficiency and productivity.
Serve as the point of contact for inquiries from staff and external partners.
About You
To be successful in this role, you will need to demonstrate:
Excellent customer service skills with a professional, discrete, courteous, and confidential approach to all matters at the executive level.
Proven proficiency using the MS Office Suite.
Well-developed interpersonal and communication skills with the ability to develop and maintain positive and effective partnerships with internal and external customers.
Sound time management skills with the ability to establish work priorities, assist in the coordination of workloads, and meet deadlines.
Proven ability to work effectively in a team environment and autonomously.
Exercise judgement where necessary to solve immediate problems in situations where precedents have not been set and procedures not defined.
Proven ability to create and control internal SOPs for continued growth.
Minimum 5 years senior administration experience.
Excellent numeracy, verbal, and written skills including interpersonal communication skills.
Demonstrated ability to organise and prioritise tasks, work effectively under pressure, and problem solve.
Excellent computer skills with sound knowledge of Microsoft applications.
MYOB AccountRight experience at an advanced level.

Our office is based in Canning Vale (main portion of the role) and our manufacturing is in Lake Grace (Wheatbelt WA). This role requires travel to the site monthly or more frequently as required, and a travel allowance will be provided.
