Applications for the following permanent, full-time, term time (plus some school holiday weeks) are sought to commence in July 2024.
School Officer – Administration Permanent Full Time, Term Time Plus 38 hours per week (7.30am-3.30pm) 45 weeks per year (includes some school holiday weeks) The purpose of this position is being the first point of contact for students and to provide administrative assistance and support to the Head of Students, Assistant Head of Students and Pastoral Head of Year Team (Years 7-12), while attending to student absences. This role works with another school officer in the same office, and the School closes for a 2 week period over Christmas.
Key Responsibilities include but are not limited to: Answer incoming telephone calls, answering queries, taking messages Liaise with teachers, parents and students, as required Respond to emails in a timely and efficient manner Handle face to face enquiries and respond or redirect as appropriate Conduct sign in and sign out duties, as required Record all absences with reasons and produce reports for absentees Maintain and update absence records in TASS and report to guardians through SMS, phone or email Process all Camps and prepare all documentation including medical forms Attend to the lost property function for Years 7-12 Displays for noticeboards High level administrative support to Assistant Head of Students and Head of Students, including drafting of correspondence, letters, screening calls etc Diary entries for meetings and appointments Prepare and send all correspondence to parent and community Administrative support for Middle School and Senior School events eg Parent Information nights, Graduation, Formal including the preparation of Power Points, Invitations, flyers and booklets, etc Perform basic First Aid for students, if required, or refer to Health Centre Selection Criteria Skills & Abilities Must maintain a high level of confidentiality with all matters Strong commitment to our Anglican ethos Demonstrated strong administration skills; having the ability to work autonomously, with the need of minimum supervision Demonstrated strong time management and organisation skills with the ability to work well under pressure and to meet deadlines; and be able to respond rapidly to change Demonstrated strong computer skills in all Microsoft applications Demonstrated database experience in updating and retrieving data for reports (with excellent accuracy), preferably in TASS or similar system Strong communication and interpersonal skills - both oral and written (ability to relate well on phone and in person with parents, students and employees at all levels of the School) Commitment to meet quality standards; and the willingness to update their skills and knowledge on a regular basis Demonstrated commitment to the pastoral care of students Ability to work in a team environment Qualifications Paid Blue Card (Working with Children Check) or eligible to obtain At least 2-3 years' experience in a personal assistant or senior administration role within a school environment, preferably in the secondary school  Experience in Reception and front desk duties A formal qualification eg Certificate III in Business Administration, would be highly regarded A current First Aid Certificate (or be willing to obtain the certification) Why join St Hilda's School?
