About the Role The Customer Administrator plays a pivotal role in ensuring a smooth and positive experience for our clients throughout the administration and construction process of their new homes. This role involves direct interaction with clients from the initial signing through to the key handover, providing essential consultation, communication, and assistance. Reporting directly to the Administration Manager, the successful candidate will be integral to the business, requiring passion, determination, and advanced organisational skills.
Key Responsibilities Client Consultation and Communication: Conduct initial Structural Pre-Start meetings with clients to set expectations and outline the construction process. Assist clients in the selection of materials and colours during the Pre-Start meeting, ensuring their choices align with their vision and budget. Provide ongoing support and updates to clients throughout the construction process, addressing any queries or concerns promptly and professionally. Documentation and Administration: Prepare and organise all necessary contractual documentation, ensuring accuracy and compliance with company and industry standards. Liaise with clients and their sales consultants to ensure all paperwork is completed and submitted on time. Follow up with clients to secure finance and settlement documentation, facilitating a smooth transition through each phase of the project. Raise and manage variations as required, ensuring all changes are documented and approved by all relevant parties. Workflow and Performance Management: Conduct daily workflow analysis using the Framework (Workflow System) to monitor progress and keep projects on schedule. Stay updated with required milestones and ensure that any potential delays are communicated and addressed promptly. Attend weekly job book meetings with key stakeholders within the management team to discuss project statuses, challenges, and strategies for improvement. Customer Service Excellence: Ensure a maximum level of customer service is delivered to clients at all times. Manage relationships effectively, maintaining open lines of communication and fostering a positive client experience. Exhibit personal accountability in all interactions, taking ownership of tasks and ensuring they are completed to the highest standard. Required skills and experience: Prior experience in a similar role within the residential/commercial building industry is ideal. Meticulous attention to detail and advanced organizational skills.
